Thank you for reaching out to the Community space with your questions about W-2 printing in QuickBooks and the Workforce service, Tom.

 

Yes, as an employer, you can print W-2 forms for an employee directly from your QuickBooks account without letting them sign up for Workforce. QuickBooks Workforce is an optional, free portal included with your payroll subscription; it is not a paid add-on. Employees can use Workforce to view and print their pay stubs and W-2 forms, but enrollment is not required to provide these documents.

 

You can print your W-2s on or after the following dates:

 

  • January 1 if your Automated taxes and forms setting is OFF.
  • January 15 if your Automated taxes and forms setting is ON.

 

To print your W-2 forms, follow these steps:

 

  1. Go to My apps, then select Payroll.
  2. Choose Payroll taxes, then Filings.
  3. In the Payroll Tax Center, select the Resources icon above the File column.
  4. Click W-2s.


     
  5. Choose the W-2 employee copies you wish to print and then click on Manage W-2s.
  6. Review the list of employees who need printed W-2 forms.
  7. Select View and Print to generate the documents.


     
  8. Click the Print icon in the Adobe Reader toolbar, then click Print again.
