Client prepared and mailed Q3 2020 941 outside of the payroll system. QBO shows Q3 941 ready to submit. I want to record that it has been done without submit to IRS.

How can I update the payroll system without clicking submit (and thus resending to IRS)?

Since your client already filed your Q3 2020 941 forms outside QuickBooks Online (QBO), you can archive the form. This way, you'll have a copy and record under View and Print Archived Forms.

 

Here's how:

 

  1. In QBO, go to the Taxes on the left pane to ge to the Payroll Tax page.
  2. Select Quarterly Forms under the Forms column.
  3. Locate the Q2 2020 form 941. Then, click the Archive button.
