Desktop 20 payroll removes class codes

Hi folks, we are using QB Desktop 20 Enterprise Contractor edition and have been a QB Desktop user since 2012.  We have all the current updates.  We are having a problem with QB payroll.  Payroll is entered with Class Codes and processed, but when the file comes back from QB after it's processed, most all of the class codes are changed to unclassified.  We have spent hours and hours with QB support and they're telling us they either don't know what's wrong or our file is too big.  The company file is about 1.7GB and works fine in all regards, but I think they're meaning the employee portion of the file is too big.  An F2 shows 469 employees, but we only have 110 *active* employees.  I can find no way to delete or get rid of the inactive employees and their payroll records.  As I understand it, when we transmit/process payroll to QB, *all* employee records are processed even with inactive employees, thus the transmission takes a super long time and now the file is coming back to us with most of the class codes stripped off and QB now has them as unclassified.  QB support here and there is telling us that we should start a new company file to resolve this.  This would take a ton of work and doesn't sit well with our accounting people and the users that need to look at history, etc.  Has anyone had this happen and found a work around to resolve this issue?  I've search the Internet for posts on this issue and am totally stumped.

I appreciate you for getting in touch with us about the payroll issue. I would also look for another way if the workaround suggested is to create a new company file.


Ideally, previously entered class codes shouldn't be unassigned or tagged as unclassified after processing payroll. There are troubleshooting steps you can perform to isolate and fix the problem.

 

I suggest you start by testing a sample file or another company file. If it's working fine, the classes may be damaged on that specific data.

 

If that's the case, you can proceed with re-sorting your lists in QuickBooks. This usually fixes odd behavior and will revert them to the default order.

 

In case the issue persists, I recommend running the Verify and Rebuild Data utility. These features self-identifies most data issues within a company file while Rebuild Data self-resolves most data integrity issues that the Verify Data finds.

 

To run Verify Data:

 

  1. Click the File tab at the top menu bar.
  2. Hover your cursor to Utilities.
  3. Select Verify Data

 

For Rebuild Data:

 

  1. Click the File tab at the top menu bar.
  2. Hover your cursor to Utilities.
  3. Select Rebuild Data.

Thanks very much for the tips.  Sadly, repeatedly running the verify/rebuild keeps the same errors.  See attached (I've whited out the employee name).  These errors have been showing since June/July of 2020 and I'm not sure how to fix them.  Also, I ran the most recent release of the File Doctor and it said there were no errors, which is confusing to me, when the verify/rebuild says there's errors.

 

On a related note on our QB file size, can you tell me more about the Condense Data utility for ONLY removing the audit trail and not actually getting rid of anything else?  I ran this as test (copied our QB file to my local PC and ran it and it shrank the file tremendously!).  I couldn't really find any info on if removing the audit trail would affect our normal work flow.  Do you know?  Thanks in advance for the help.

I can see the importance of resolving this error and keep your company file work smoothly.

 

Removing the audit trail will reduce the file size of the data file and considerably speed up the data file. It does not impact Quickbooks in any way but rather helps in maintaining a low file size and improved performance in Quickbooks. When handing over data files, you can remove the audit trail. Thank you again for the reply.  Payroll today was a nightmare.  It took two hours to process the upload, QB kept saying the communications link was lost, but while I was restarting it, I (and everyone here) got the announcement that we had our pay stubs available, but according to QB Desktop, it hadn't completed running yet.  Also, all our class codes are wiped out again and marked unclassified.  I ran verify and rebuild until I'm blue in the face and also file doctor.  File doctor said nothing is wrong.  This weekend, I'm going to run the condense data with ONLY removing the audit trails and see if that helps with next week's payroll.  In my test run last weekend, it cut our file size in half.  If this doesn't do the trick, I'm going to need to have QB pull out the big guns and get our file fixed.  I don't know what else to do.
