I have recently converted our Desktop account to QBO; however, it is not prompting me to enter the YTD  2020 payroll/payroll tax data for employees that have been paid this year.   Any thoughts as to why I can't get this screen to come up?  I have went through and reviewed the employees that have been paid in 2020 in "your team's 2020 payments are ready", and edited/fixed all errors in the "ready to pay your team" step....any suggestions would be much appreciated - thank you!

Hi there, @lorircchurch.

 

When you switch from QuickBooks Desktop to QuickBooks Online, some of the payroll info will not transfer. This is because QBDT has more payroll features than QBO. This is also the reason why you didn't get a prompt that you can enter the YTD 2020 payroll tax data.

 

However, we can set up a prior payroll in QBO Payroll to enter their past information. This will make sure that everything is accurate for year-to-date (YTD) totals on your employees’ pay stubs. Here's how:
 

  1. Select Payroll and click Overview.
  2. You will see tasks you need to complete on your TO DO. When you're done adding your business info, it's time to tell us about your team. Select Let's go to start adding your employees.
  3. Enter your employees' info. After you complete questions 1-7, click Done.
  4. Select Add an employee to add the rest of your employees.
  5. Complete the onscreen steps 1-7. If your employee doesn't have any wages to enter this year, click Done and add additional employees as needed.

 

Once done, enter how much you paid the employee this year. 

 

  1. Under Step 8, How much did you pay [employee] this year?, select +Enter [year] prior pay details.
  2. Answer 1-2 questions to select the time period the employee got paid. 
  3. Enter how much you’ve paid your employee so far this year in the Year-to-date totals as of today column.
  4. Be sure to include all types of compensation, deductions, taxes, and company contributions including.
  5. If you're in quarters 2 - 4, enter the amounts you paid the employee for previous quarters in the Year-to-date totals as of [date] column.
  6. Repeat the steps for all employees you paid this year.

@ReymondO I don't have a Step 8 that shows up?

Can you share if you're getting any error message? You can also include a screenshot so we can take a closer look why Step 8 provided by my colleague is not showing on your end.

 

The step 8 should normally show up if you set up prior payroll for QuickBooks Online Payroll. For the detailed steps, please consider checking this article: Set up a prior payroll for QuickBooks Online Payroll.

 

We'll have to complete and undergo the steps in Step 3: Enter how much you paid the employee this year where we can see step 8 shared by my colleague. I see that you're unable to see it, we can try refreshing your browser by clicking the Reload icon or pressing F5 on your keyboard.

 

Then, we use an incognito/private browsing session to continue following the detailed steps. 

 

  • Microsoft Edge: Hold Ctrl + Shift + P 
  • Mozilla Firefox: Hold Ctrl Shift P
  • Google Chrome: Hold Ctrl + Shift N
  • Safari: Hold Command Shift +N

 

If the same thing happens, proceed to delete your browser's history. It helps QuickBooks to respond properly. We can also use a supported, up-to-date browser. It'll also help QuickBooks to perform efficiently.

 

If still, it's not showing, you can give us a call to figure out this thing. Here's how:

 

  1. Log in to your QBO account.
  2. Click the Help icon at the upper-right corner.
  3. Click the Contact Us button.
  4. Give a brief description of your issue about setting QuickBooks Payroll.
  5. Click Let's Talk.
  6. In the Choose a way to connect with us page, select Get a call - you'll be receiving a callback from a support agent.

When im in the section to fill out employees YTD data, it wont allow me to continue with the process. Once i've filled the information it will tell me that the the amount i entered are incorrectly. Does anyone know how to calculate the tax percentage and get the right number?

You can pull up payroll reports to help you calculate and correctly enter the data, Blas Ramos.

 

I suggest using employee pay stubs and reports that may have employee year to date amounts. To help you enter the data needed for each step, I'd recommend contacting our Phone Support Team. They have the resources to walk you through the detailed process of entering prior payroll.
