How do I print/send the state copy of W2's?

Hi there, SueW,

Let me walk you through printing the W-2 form so you can submit it to your state.

QuickBooks Online Payroll currently supports printing W-2 forms on a 3-part perforated paper, 4-part perforated paper or plain paper. 

You must update the payroll settings by selecting the correct paper to use when printing the form.

Here's how:

  1. Go to the Gear icon at the top.
  2. Select Payroll Settings under Your Company.
  3. Go to the Preferences list, then click Form Printing.
  4. Select the appropriate W-2 printing option.
  5. Click OK.

Once done, let's access and print the W-2 form.

Here are the steps to follow:

  1. From the left menu, select Taxes, then Payroll Tax.
  2. From the Forms section, click Annual Forms.
  3. Select either All Employees or a specific employee name from the drop-down menu.
  4. Click W-2, Copies B, C & 2.
  5. Choose the appropriate period from the drop-down menu.
  6. Click View to launch Adobe Reader.
  7. Click the Print icon on the Reader toolbar, then click Print.

You can now print the W-2 form for your state.

How do I print/send the state copy of W2's?

I thought only Copy 1 needed to be sent to the state. I can't find anywhere to print just Copy 1. Is that possible? I don't want to send each employees entire sheet to the state, just Copy 1.
