Hi - i am unable to unlock or edit time sheets that have been previously approved.  Please assist

Welcome to the QuickBooks Community. Let me share details to ensure you can unlock or edit timesheets that have been previously approved. Then, route you to the right support team to assist you further on this matter so you can get back on track.

 

When editing time sheets that have been previously approved, you'll have to make sure that you log in to QuickBooks Timesheet as an account administrator. This might be the reason why unable to unlock or edit time sheets.

 

Additionally, you can only unlock timesheets up to 90 days in the past. Otherwise, editing them is currently unavailable. 

 

If you're already the admin and the timesheets are within 90 days but the issue persists, I recommend logging in to your QB Timesheet using a private browser. Then, try to edit time sheets from there. This is to rule out the possibility of a webpage issue, and private browsing doesn't store local files or cache.

 

Use these keyboard shortcuts based on the browser you're using.

 

  • For Firefox or Microsoft Edge, press Ctrl + Shift + P.
  • For Chrome, press Ctrl + Shift + N.
  • For Safari, hold down Command + Shift + N.

 

If it works in incognito, you have to clear the cache of your regular browser. This removes the history or log of sites so you can start with a clean slate. You can check this article to see the steps: Clear cache and cookies to fix issues when using QuickBooks Online.

 

If the steps above didn't work, use another supported browser as an alternative.

 

If the issue continues to occur, I recommend contacting the QB Timesheet Team. They have the tools to pull up your account in a secure environment and be able to investigate why you're unable to unlock or edit timesheets that have been previously approved.

How do I unlock a Timesheet that has been approved?

I am new to this , I just got this software this week. I approved our time sheets for the pay period , but it want let us clock in or out now, can someone help me please.

I'm sad to hear that you're experiencing some difficulties with clocking in and out after approving the time sheets for the pay period. Don't worry, I'm here to assist you and get things back on track.

 

Once the entries are approved, they are automatically locked, which is likely why you're unable to locate the clock in or out feature. What we can do now is to unapprove it back. 

 

Here's how: 

 

  1. Proceed to Approvals.
  2. Choose the report dates, team members, and click Run Report.
  3. To unapprove and unlock the team member's timesheet, select Unapprove.
  4. Enter the reason and click Send.

 

Moving forward, let's ensure to approve the entries after the end of a shift or the end of a pay period.

I've unlocked the time however the approval has not changed.  How do you update the approval?

Hello there, @Thomas56.

 

Since you've already unlocked the timesheet, know that you'll want to go to the Time Entries tab and then the Manual Entries section to input the details from the unlocked timesheet. After saving the entries, you'll want to go to the Approvals tab on the left navigational bar to start approving changes. We'll gladly write down the steps to get you going:

  1. Access your QuickBooks Time company.
  2. On the left navigational bar, go to the Time Entries.
  3. Manually add the time needed for each employee.
  4. Click Save.
  5. Go to the Approvals tab, then locate the manual time entries, and then click Approve.

How do I unlock a Timesheet that has been approved?

Previously I have been able to edit time sheets in QBO with two clicks while billing. Weekly I have to update multiple time entries to either make them billable, correct the customer, make the time unbillable, etc. Out of the blue I can no longer do it and took ten minutes to navigate to TSheets, unapprove three weeks, edit multiple time entries, re approve them, and reexport them (multiply that times the 60ish bills each week and it is horrific). Then go back and try to create the bill. Weekly billing is going to go from sixish hours to two days. 

 

Clearly QBO could process the previously imported time so that it wasn't duplicated - this new process is going to kill us and require us to find another provider. I would like to utilize the beta option to see if that is an adequate workaround first. After an hour on the phone with tech support, I was essentially told it is what it is and no we don't announce changes like this.
