How to change contractors social security number on form 1099 that was already efiled

Hello there, @thetrust2dust.

Currently, QuickBooks Online (QBO) is unable to change a contractor's information (i.e., Social Security Number) on Form 1099 that's already e-filed. You'll have to manually amend the form to the appropriate agency to correct it. However, you can print a new paper copy and send it to the IRS with QBO.

Before that, let's go to the contractor's profile and change their Social Security Number. This way, the paper copy will contain the updated and correct details. Here's how:

  1. Go to the Expenses menu.
  2. Select Vendors.
  3. Choose the appropriate contractor from the list.
  4. On the contractor's profile page, click Edit.
  5. On the Vendor Information window, go to the Business ID No. / Social Security No. field and change the info.
  6. Click Save.

Once done, let's go back to the Prepare 1099s page and print your contractor's corrected 1099 copy. Here's how:

  1. Go to the Expenses menu.
  2. Select Vendors.
  3. Click Prepare 1099s.
  4. Choose the Continue your 1099s button.
  5. Follow the on-screen instructions.
  6. Once done, choose Print and mail, then follow the steps to print your forms.

After that, manually amend the Form 1099 to the IRS. You can use the instructions provided in this article to do so: General Instructions for Certain Information Returns. Once done, provide the corrected return to your contractor.

Also, here's an article that answers the most frequently asked questions about Form 1099s: Common questions about 1099s. It includes topics about 1099-NEC, 1099-MISC, and 1099-K.

Let me know if you have other 1099 concerns or inquiries about managing contractor details in QBO. I'm just around to help. Take care always.
