How to delete employee

How do I delete an employee entered in error? The employee is terminated and showing in the inactive list but it has appeared in the active list and I can't remove it without completing the information in the employee detail I do not want to have two of the same employee in the inactive area.

We’ll have to change the name of the employee you entered correctly and then delete it. This way, you won’t have the same employee on your inactive list.

 

We can delete an employee if they don't have paychecks yet. If they already have one, we can only make them inactive.

 

To delete an employee:

 

  1. Go to the Payroll menu.
  2. Select the Employees tab.
  3. Click the employee's name.
  4. Select Edit Employee.
  5. Change the name of the employee and select Delete employee.
  6. Select Yes to confirm the deletion.

How to delete employee

Hi, I do not see where any of those options shown in the above response are located. Can someone help? An employee was added but the offer was rescinded before they even started and I don't want this in the list.

Thanks for following the thread. I'm happy to lend a hand with deleting your employee from QuickBooks. 

 

It's likely that you're not using the same payroll subscription as the steps provide above. The steps to deleting an employee will be base upon what payroll subscription you currently use. For example, QuickBooks Online Payroll, Intuit Online Payroll, Etc.

However, you can leave me a Reply below on what type of Payroll you're currently using, and I'd be happy to provide the correct set of steps for you.

Welcome to the Community! I’d be happy to help you delete a team member that never started to make sure your lists are nice and clean. Here’s how:

  1. Choose My Team from the menu
  2. Click on the vertical ellipsis on the right.
  3. Select Archive, then Confirm.

How to delete employee

I tried to archive unneeded employee names from QuickBooks Time, but it won't let me. So this is exactly what happened, test entries were made in QuickBooks online for Team Members. Those automatically showed up in QB Time. Later, the test entries were deleted in QuickBooks online (by going to Employees, clicking on the test name, going to Actions, and selecting Delete Employee. However, those names still show up on QB time. No payroll was ever run on them (in fact, we haven't run any payroll at all yet and time entries just started yesterday). Is there ANY way I can get these unneeded names of the list in QB Time? As stated before, I'm not able to Archive them (I supposed because I deleted in QB Online, but QB Time doesn't realize that).

To delete team members in QuickBooks Time, you can archive their profiles, which is the equivalent of removing them from the system.

 

Please note that only account administrators have the ability to manage employees. If you're not the primary user, this could be why the option is grayed out for you. I suggest consulting with your company admin to handle the task.

 

Otherwise, you're likely connected to QuickBooks Online through our payroll bundle option. This means that to archive a user, you'll need to first make them inactive in QuickBooks Online and then run an import.

 

To import new information in QB Time, go to the QuickBooks dropdown menu in the upper right-hand corner. From there, you can select the import options that are most relevant to your needs.

I appreciate you participating in this thread, @Excellent1. I'm pleased to walk you through the necessary steps to remove an employee in QuickBooks Time (QB Time).

 

After deleting an employee from QuickBooks Online (QBO) Payroll, you must run an import to sync it with QB Time. To do that, click the QuickBooks logo and select Import. I also recommend checking the View Sync log for any issues after importing.

 

If the employee still appears in QB Time, you'll need to manually archive them from there. Here's how:

 

  1. Go to My Team.
  2. Locate the employee and select the three dots.
  3. Click Archive.


 

Furthermore, utilize the Payroll Item Mapping Tool to assign payroll items before exporting any hours from QB Time to QBO.
