Until I get new software, I'm taking employee email addresses OUT of QB.

That's what I did, erased all employee email addresses so no chance that they would get an email...we shouldn't have to do that!

Thanks for bringing this matter to our attention and for sharing the steps you did to prevent employees from getting an email invitation to access QuickBooks Workforce, @AlabamaPamela, and @BLL1. I'm here to share further details about this.

 

When you add employees' info, including their email addresses, QuickBooks will automatically invite them to see their pay stubs and W-2s. They'll get an email with instructions to set up their Workforce account.

 

I can see that this is affecting your business. In Intuit, our top priority is the security of your account details. Since the Community is a public forum, and we'll need to collect some personal information to pull up your account, I encourage you to reach out to our Customer Care team. They can create a case to investigate this matter and provide further details about this. Here's how:

 

  1. Sign in to your QBO company.
  2. Go to the Help (?) menu.
  3. Select the Search tab.
  4. Click the Contact Us button.
  5. Enter a brief description of your concern in the What can we help you with? field.
  6. Select Continue.
  7. Choose a way to connect with us (Send a message or Get a callback).

No one should have to jump through all the hoops to have my case looked at.  I bought desktop version because I didn't want any interference.  I cannot trust Intuit any longer.

This worked for me.  I found how to turn it off.  However like many other posters....I too am pretty livid that our employee's payroll information is now online without our consent OR theirs.  The workforce tab was turned on automatically by Intuit, not by us. 

 

Intuit.....you need to check your liability on this issue.  Not acceptable to automatically choose our preferences for us on serious issues like this.

To add an employee, you must input their name, but click the option not to add them to workforce and definitely do not add their email address.  Click ok then it will take you to where you must edit each section to add their information.  It is different and strange the way we must enter the information but it works.

There is no OKAY. All you can enter is name and email. there is a toggle to opt out of workforce but the only way to leave the pop up is the X at the top which deletes the info. No OK, OKAY anywhere on popup.

I had to log in to look again.  If you are adding a new employee, enter name, do not enter email address.  Turn off "Employee self set up" and then add employee.  I understand being apprehensive, I was too but that was the only way I found to add.  No one has asked about a weird email.  Once again, do not enter the email address, I think that is the way they will try to send the invite.  I would advise contacting Intuit for a different way and a guarantee that this would not add them to workforce.  I took a chance and I haven't heard anything.  

This is the way I did it.  I am not speaking for Intuit and cannot guarantee that this is the official work around.

Since it did not give you an option to click on Okay, I suggest contacting our Customer Care Team for further assistance. They can do screen-sharing sessions to take a closer look at this issue and provide additional steps to complete your work.

 

Here's how to reach them:

 

  1. Click the Help menu in the upper-right-hand corner.
  2. Type in "Talk to a human", then press Enter.
  3. Look for I still need a human and click on it.
  4. Click Get help from a human or Contact Support Team.
  5. Select between Send a message, Schedule an appointment, or Get a callback.

Trying to step in to help here - I am assuming you are on QB Desktop yes?

 

I am NOT in Workforce Services and I did indeed just add a new fake employee just fine.

 

You can indeed add their info, including their email (which I use to send them their paystubs myself - not thru Workforce.). SAVE the employee.

 

Then Go to Employees>Manage Payroll Cloud Services and it will look like this (attached screenshot) and toggle it to OFF like I have it.  

 

Then yes you can hit the X at the top and close that window, it will confirm your payroll subscription and you're done!

 

When you go to Create Paychecks, after you go to create them the window it opens will either say "Using Workforce Services" (in which case you still have it on) or it will say "Send your payroll to Intuit for processing" (see attachment) - THAT is what you want to see it say.   Then you can "Send to Intuit" and know that it is not using Workforce Services.

Out of desperation, I finally downloaded Safari and tried opening it in that and I did indeed have a "continue" button! So I get him all entered and go to Taxes to scroll down to "Employee Setup" and none of that stuff is there in Safari. So I have to enter employees in Safari and then go back to Chrome to print their paperwork which seems about right for this new and improved version. I just wish it was easier to see the page through my tears although I have learned to put a towel on the keyboard when using Intuit to keep my computer from getting too wet. I am selling my restaurant of 24 years and while I have a few reasons for selling, Intuit isn't not one of them....I will NOT miss this torture chamber at all. Thanks for the help.

Hi Ovaltine:  Glad you found a work around, but it sounds like you are using QB Online rather than Desktop version on a Windows PC platform.

 

The directions above that I posted are for Desktop if anyone needs to turn off WorkForce.

Yeah, I have the desktop version of Quickbooks but my Intuit payroll has always been on line. I'm not a great person with change and the world is changing pretty fast. Thanks for the kind words, I just want to get off the ride and hang with my dogs.

Intuit shouldn't be soliciting my employees in the first place for "free products". I don't appreciate it. Now I find out you can't turn it off if you're unhappy with it.  

 

BAD business practice. Unethical.

Any idea how to do this without turning on direct deposit?  I am rebuilding an entire company file (130 hours in so far because I cannot delete so much of the garbage that has been carrying forward for 10 years).  I cannot do anything with payroll history until I violate my clients' privacy.

I spoke with a representative who said that they cannot reset the PIN unless my client, who has no idea what Quickbooks even is, calls them.  This was after the first rep told me that my boss, the account owner, had to call.  So, he drove to the office to call them.  I will be looking at other accounting software at this point.

I'm here to help you with removing an employee from Workforce.

 

You can go to your employee's profile to turn off their Workforce access. 

 

Follow the steps below:

 

  1. Go to the Payroll menu and click on Employees.
  2. Select your employee and click the Actions button.
  3. Click on Turn off Workforce access.
  4. Select Confirm.
