Inability to Access Payroll Data, Bank Recons, etc.

Our company has 2-QB Desktop licenses and 2-users.  Periodically I will go into the Employee Center and want to drill down to payroll info for specific employees or I will need to access a bank rec that I currently have in process and the system will come back with the message "Only one user at a time is allowed to access employees, payroll items, payroll functions, or payroll data (transactions), and "X" is currently doing this."  When I speak with the other user, she is not in the Employee Center or accessing any payroll data.  In fact, she often has nothing other than the check register open.

 

How do I prevent this erroneous issue from happening.

I can share some information to help you sort this out, @WGM.

 

Just to clarify, are you getting the warning or prompt in all computers where you're using QuickBooks? In the meantime, let's run the verify utility and rebuild the utility tool. This isolates and resolved issues using QuickBooks in a multi-user mode. Let's first turn off the multi-user access in QuickBooks.

  1. Go to the File menu.
  2. Choose Utilities.
  3. Select Stop Hosting Multi-User Access.
  4. Click Yes to confirm.
  5. Close QuickBooks and re-open QuickBooks.

Now, here's how to perform the verify and rebuild utility tool:

  1. Go to the File menu.
  2. Hover over Utilities.
  3. Select Verify Data.
  4. Click OK when you see the message QuickBooks detected no problem with your data. You may continue using your company file.
  5. Go to the File menu.
  6.  Choose Utilities.
  7. Pick Rebuild Data.
  8. On the QuickBooks Information window, select OK. Follow the onscreen steps to save a backup.
  9. Let the tool repair your file. It may take some time. QuickBooks may seem stuck, but as long as you can move your mouse, the tool is working.
  10. When the tool finishes, select OK.

If only a specific user receives the and was not able to access the payroll function even though no other user is using it, you may want to check this article: Resolve data damage with your QuickBooks Desktop company file.

Thank you for your help.  I wasn't able to confirm whether the messaging appeared on all computers, but rebuilding the utility tool seemed to do the trick.
