Let me help with your question about merging QBO accounts, Cardinal1.

 

We're unable to merge or transfer data from one QBO account to another. You'll want to keep only one account and create all transactions from there. 

 

If you want to keep the one with payroll, you can upgrade it to a full QBO account. Here's how:

 

  1. Go to the Gear icon and select Account and Settings.
  2. Proceed to the Billing and Subscription tab.
  3. Look for QuickBooks Online and click Find out more at the bottom of it.
  4. Select the plan that you need and click Buy now.
  5. Follow the succeeding prompts to upgrade the subscription.

 

Once done, you can recreate the transactions to this account and cancel the other one. Here's an article for more details: Cancel Your QuickBooks Online Subscription.

 

If you want to keep both accounts, you'll want to look for third-party apps that offer to move data between two QBO accounts. Here's how:

 

  1. Go to the Apps menu and proceed to the Find Apps tab.
  2. Click the drop-down list for Browse category and select Sync Data.

I am experiencing the same issue, except my online payroll and new online quickbooks accounts are under the same ID. Is there any way to merge the two? Or can I export from qb online payroll to my new qb online account? Is there an export feature? (even though you can't merge the two) Thanks.

Thanks for taking the time to follow the thread and sharing your concerns. 

 

As my colleague mentioned above, the option to merge the accounts isn't available at this time. However, if there hasn't been a paycheck entered through the new QuickBooks Online Payroll account yet, you can enter historical payroll data into the new account. This way, you can ensure that everything is accurate for year-to-date totals on your employee's paystubs going forward to report correct W2 information at the end of the year. 

 

Here's how to enter the historical data: 

 

  1. Log in to your QuickBooks Online account.
  2. Go to the Payroll menu.
  3. Within the Employee tab, select the employee to open the information. Under How much did you pay [employee] this year?, select +Enter [year] prior pay details.
  4. Enter the necessary information.

Suzie seems to be having the same problem as me, which is that we had intuit payroll already and were recently forced into getting quickbooks online, (because you will no longer allow 2019 to download bank information) and while there are many payroll stubs there is much more information in 2019 quickbooks which goes back many years. Can I import my 2019 desktop information into the intuit payroll? Or should I do it vice versa?  How do I combine the subscriptions?

I'm here to provide some insights about moving your payroll data to your other QuickBooks account.

 

Importing your 2019 payroll data from QuickBooks Desktop (QBDT) to Intuit Payroll is currently not possible. However, we can do vice versa. I'll show you how.

 

  1. Go to the Setup menu in your Intuit Payroll account.
  2. In the Payroll and Services section, select Preferences.
  3. Select QuickBooks Desktop for Windows (IIF) as your accounting software.
  4. Click Next to proceed.
  5. In the Checking Account field, enter only the name of the bank account exactly as it appears in your QuickBooks Chart of accounts.
  6. Select OK and the default accounts listed will be created automatically in your QuickBooks. 
  7. Follow the onscreen instructions and click OK until you're back to the Setup Overview page.

You don't have to convert your data to QBO. You can still purchase the one time license for QBD 2021 or the subscription license for QBD 2022 to upgrade your version.
