I can help correct your payroll data in QuickBooks Online (QBO), expressplumbing.

Some payroll information doesn't transfer to the Online version since QuickBooks Desktop has more payroll features.

Your paycheck data are being imported as lump sums in QBO. Hence, you need to enter past year-to-date payroll information for each employee. Check out this link for instructions and detailed steps: Set up a prior payroll for QuickBooks Online Payroll.

If the system won't let you enter prior payroll due to recent paychecks already entered in the system, you can contact our Payroll Team. They can add those data for you.

Also, you can run one of your financial reports to check if the import is successful:

  1. Run a report, such as profit and loss, on accrual basis in QuickBooks Desktop.
  2. Run the same report on accrual basis in QuickBooks Online.

If your reports match, you can get started with QuickBooks Online. If your reports don’t match:

  1. You can check this guide again to know what happened to your data when you moved from QuickBooks Desktop to Online.
  2. If your reports still have issues, contact us. We can help you reach out to our Data Services team to fix report discrepancies.

Once your payroll data are all set up, here are the steps you can take:

  1. File your W-2 forms as you normally would.
  2. You need to create and file a W-2c form with the Social Security Administration manually. To do this, see the General Instructions for Forms W-2c and W-3c section in General Instructions for Forms W-2 and W-3.
  3. Use any payroll reports you need to fill out the W-2c form.

Stay in touch with me if you need additional information about this. I'm always around to help you with payroll.
