Old W2's

I need to get an employee's 2021 W2 but all it will give me is 2022.  I am going to employees>payroll tax forms & W2's>process payroll forms>annual form W-2/W3>fill in the select employee portion> change the date in the select filing period portion...and it will only give me 2022.  How do I get to the 2021 W2?

Thanks for reaching out to the Community, Scarlettfreeze.

Accessing previously filed tax forms will depend on which payroll subscription you're using. If Intuit files them for you, all forms are available to view or print approximately 35 days after your quarter ends. Amended forms are available once their cases are complete.

Here's how to view tax forms with Payroll Assisted:

  1. In the top menu bar, go to Employees, then Payroll Center.
  2. Access your File Forms tab and click View/Print forms & W-2s.
  3. From the Payroll Tax Center window, enter your Payroll PIN, then hit OK.
  4. Select Filed Forms and choose which forms you want to view, print, or save copies of.

Here's how to access forms with Payroll Enhanced:

  1. In the top menu bar, go to Employees, then Payroll Center.
  2. Open your File Forms tab.
  3. Under Filing History, click Save Filings or E-Filings.
  4. Select a form to view, print, or save it.

I've also included a couple detailed resources about working with tax forms which may come in handy moving forward:

RE: How do I get to the 2021 W2?

You can't. QuickBooks only has one of each payroll form, usually for the current period or the prior period when the new one isn't yet ready.

Note that each time you print tax forms for a period, like a given year for a W-2, by default QuickBooks saves a PDF copy. For W-2's, it saves only the company copy, which will normally be available on the Forms tab of the payroll center in the history section mid-way down the window.

Greetings, @Blackbearcsi! I'll gladly walk you through how to print W-2 forms from previous years in QuickBooks Online (QBO). We will navigate to the Archived Forms page to accomplish this task, and I am happy to guide you through the steps.

QuickBooks Online lets you archive payroll forms after submitting them. When you've saved your W-2 copies in your QBOP account, you can reprint them. To print your W2 from 2022, follow these steps:

  1. Go to Taxes, then Payroll Tax.
  2. Choose Filings, then click Archive Forms
  3. Select the date range you need, or search the forms you need.
  4. You can utilize the Filter option to narrow down your search.
  5. Click View on the W-2 or W-3 form you want to print.
  6. Select the print icon on the Reader toolbar. Then, pick Print again.

You can read this article for detailed information on printing W2 and W3 forms in QBOP: Print your W-2 and W-3 forms.

In the future, you can visit this article that provides information on filing your W-2 forms: File your W-2 forms.

Moreover, you can also pull up a variety of payroll reports in QuickBooks. It will give you a closer look at your employee's total wages, deductions, and tax information in a certain period. For the complete list of available payroll reports and how to pull them up, kindly refer to this article: Run payroll reports.

Feel free to post here again if you have any other payroll concerns or questions related to the W2 forms in QBO. I'm always here and ready to help you out. Take care, and have a fantastic day!
