Payroll Withdraws

Hi Everyone,

It has been a while since I have dealt with QuickBooks.  I started a new company last year.  I run my payroll, but instead of writing a check, I give them cash. (still have a stub for them).  QuickBooks automatically enters the payroll wage expense, but how do I enter the cash withdraw I take from the bank?  Its making it look like I have paid more payroll than I actually did.  Help! (and yes, I know, I need to change my method, but my guys like cash.)

Let's make sure you'll be able to enter payroll correctly, ECO Gal.

Normally, you can create a paycheck manually in QuickBooks Online. To do it, you can follow the steps below:

In the navigation bar on the left, go to Workers or Payroll and open the Employees tab.
2. Click on the green Run Payroll button.
3. Choose the worker you'd like to pay, then enter their hours.
4. Use the Preview payroll option to proceed.
5. Select Submit payroll.
6. Hit Finish Payroll.

If you still need to keep track of those paychecks in QuickBooks you can do it manually. Learn from this article for your guide: Manually Enter Payroll Paychecks In QuickBooks Online.

Furthermore, to take a closer look for your business and employees, I've added this article so you'll know list of payroll reports available: Run Payroll Reports In QuickBooks Online Payroll.

Payroll Withdraws

Hi There,

I think you misread my post.  I do run payroll.  And quickbooks posts the employees check (wage expense).  However, because I do not write a check (I pay them cash), how do I record the cash withdraw I do?  Because as of now, It shows eric T. -1507.77 in my ledger, but it also shows the withdraw I made -1507.77 to actually pay him.  Therefore it shows my payroll as double the cost.  How do I enter the cash withdraw that is used to pay them?

Payroll Withdraws

Hello there, ECO Gal. Thanks for getting back to us.

You don't need to create a separate transaction after running payroll. With that, recording cash withdrawals is not necessary. If you already created one, make sure to delete it.

You might want to check this article for more tips about paying your employees: Ways to pay your employees.

Still,  you can check this link to get the list of available payroll-related reports in QBO:  Run payroll reports in QuickBooks Online Payroll. This will guide you on how you pull up different types of payroll reports depending on the information you need.
