How do I verify the paystubs emailed to employees from QB dekstop actually sent? Or, if an employee says they didn't receive their paystub via email, how do I resend?

There is nothing in the Sent folder of Outlook.

Welcome to the QuickBooks Community, LeahC. Let's take some steps to ensure that your employees receive their emailed pay stubs smoothly.

When emailing paystubs to your employees, you can check the sent folder of the email you're using to see if the transaction was sent. Since there is nothing in your Outlook Sent folder, you need to send a test to yourself. This is to confirm if there is a problem with your email service.

Once confirmed that there isn't an issue and the employees say they didn't receive their paystub, you have to ask them to check their email spam folders. Then, filters that might block emails.

If the issue persists, I recommend advising your employees to enter the correct password. If they still can't open the email, you can refer to this article on how you can resolve your webmail password: Fix webmail password issues in QuickBooks Desktop

On the other hand, you also have the option to invite your employees to Workforce through QuickBooks Desktop Payroll. This is to allow your employees to see and print their own pay stubs and W-2s online.

Lastly, refer to this article if you need steps on how you can see what you've paid out in your QuickBooks payroll: Create a payroll summary report in QuickBooks.

Keep me posted if you have other questions about managing paystubs in QBDT. I'm still here to help you more. Have a wonderful day ahead, LeahC.

ChristieAnn:

The last sentence in my OP There is nothing in the Sent folder of Outlook.

I cannot tell you how many times I ask a question on here, only to have someone zealous for their little badges give me some response pulled directly from their book. If you cannot actually help me, please refrain from sending me a mile long response that addresses everything EXCEPT the issue I am having.

1) The emails are coming from QB through Outlook

2) The emails are being received

3) The emails are being read

4) The issue is ONLY that QB, while sending the paystubs via email, isn't showing anything acutally sent.

NUMBER 4 IS THE ISSUE. THERE IS NOTHING IN THE SENT FOLDER OF OUTLOOK. HOW DO I SEE THE SENT EMAILS WHEN NOTHING IS SHOWING IN THE OUTLOOK'S SENT FOLDER???

I understand how this situation has affected your business tasks, @LeahC. I'm here to help ensure the sent paystubs show up in the Sent folder in Outlook.

It is possible that the option to save copies of sent messages is disabled in your Outlook profile, which could be the reason why you are unable to view any delivered emails in your Sent folder.

To ensure that your Outlook profile is correctly configured, here are the steps you can follow:

  1. Open Outlook.
  2. Go to the File menu, then select Options.
  3. Click on Mail.
  4. If the Save copies of messages in Sent Items folder box is already checked, let’s clear it and exit out of Outlook.
  5. Once done, follow steps 1-4.
  6. Then, go back to the Save messages section and check the Save copies of messages in Sent Items folder box.
  7. Once ready, click on OK.

Now you can send a test email to yourself to see if it will appear in your mail account.

If none of the steps mentioned above resolve the issue, I suggest reaching out to your Internet Service Provider (ISP) to inquire about their handling of outgoing messages. There may be specific settings they need to configure to ensure that data sent from QuickBooks automatically appears in the Sent Items folder.

Moreover, you might also consider exploring this article that guides you on how to invite your employees through QuickBooks Desktop (QBDT) Payroll to access and print their own pay stubs and W-2s online: Invite your employees to QuickBooks Workforce to see pay stubs and W-2s if you use QuickBooks Deskto....

I would appreciate it if you could let me know how things are going by adding your response below. I'm here to assist you with any information you might need.

I see. So even though my outlook is working fine, and everyone is receiving their emails - except for the fact that there isn't any way to see the emails QUICKBOOKS is sending, this is actually an issue with the email server and has nothing to do with QB. Way to (continually) shove blame without any actual help.

Thanks, intuit.
