QB Payroll

We currently run QB Payroll in house and use Quicktime. We are moving to ADP. I would like to be able to still have job costing is this possible?

 

Also can I run w2 now instead of waiting til Dec.

@Linda208  Dunno about the job costing, but as far as running your W-2s through QuickBooks, no. You would need to do it outside of QuickBooks. This is only advisable if you are actually not expecting to have any payroll in Q4 2024.

 

QuickBooks probably won't have the '2024' form available until January 2025 at the earliest. Since W-2 forms don't change, this pretty much means that any W-2s you print out will have a lot of gibberish printed on them to the effect of 'This form isn't current' or 'Do not mail'.

 

Yes, that doesn't make sense. But, here we are.

Syncing of job costing entries using QuickBooks (QB) time works automatically to QuickBooks Desktop (QBDT) when you integrate Time to QBDT, Linda. I'll provide more details about this and share information about W-2s.

 

Automatic data transfer from QB Time to QBDT is possible using QB Payroll service or having the Full Payroll function switched on. Since you're utilizing a third-party application, I recommend contacting ADP representatives directly. This way, you'll get credible information about the job costing integration on their program.

 

Regarding your concern about the W-2, it will be available in January next year (2025). Given that, we can follow FishingForAnswers' suggestion about processing your W-2s outside of the system if you won't run any payroll for the 4th Quarter of this year.

I was able to recieve the w2 from intuit, but it does not appear to let me print them now.

I’ll provide more details and assist you in printing W2 forms using QuickBooks Desktop Payroll, Linda208.

 

You can begin printing your W-2s starting January 1 or later. In addition, if you're using QuickBooks to print and send official copies of W-2s to your employees, we suggest you order W-2 kits (which include W-2 forms and envelopes) from us. This will help guarantee that your W-2s print accurately.

 

When you're ready to print the forms, you can follow these steps:

 

  1. Be sure to update QuickBooks and the payroll tax table.
  2. Next, navigate to the Employees dropdown menu, choose Payroll Tax Forms & W-2s, then Process Payroll Forms.
  3. From the File Forms tab, select Annual Form W-2/W-3 - Wage and Tax Statement/ Transmittal.
  4. Click on Create Form.
  5. Select all or individual employees to file.
  6. Enter the relevant year and click OK.
  7. Select all or individual employees to print.
  8. Click on Review/Edit to review each W-2. Reviewed W-2s have a checkmark in the Reviewed column.
  9. Once done, hit Submit Form and complete the steps to print and file the forms.
