I have Desktop 2018. I found my account out of balance vs the month end reconciliation of 10-31-22 which was exactly what my bank balance statement was. I did an audit trail and nothing then checked the voided/deleted transactions and found that Admin deleted the very first check ever written by Quickbooks which was my paycheck from September 2018. Problem is I am the Admin, no one else uses QB, and to boot I was not even in the office on Nov 2 when the transaction took place. QB not only deleted the check but then added it back in to the payroll account.
What I got looks like this:
Deleted Transaction - amount is 0
Changed Transaction - amount is xxxx.xx
Changed Transaction - amount is xxxx.xx
Added Transaction - amount is xxxx.xx
Amy account balance is now off in the amount of that check written in Sept 2018. How do I bring everything back into balance?
Solved! Go to Solution.
Re-create the deleted paycheck and enter the details from your screenshot - check #17651, dated 9-4-18, amount $1332.88, assign the Payroll account (as shown in your screenshot) to the check. That should bring everything back into balance.
Let me guide you on how to fix your reconciliation so everything will go back to balance, Zenbutcher.
Normally, once you've already saved your reconciliation, QuickBooks doesn't have the option to do any changes to your account unless it was done by another admin. You'll want to do a mini-reconciliation so you can fix everything. But before doing so, I still recommend reaching out to your accountant to guide you through the process. To start, you'll have to fix transactions in a bank account. Here's how:
Once done, QuickBooks asks if you want to Create a Payment Check or Create a Bill to Pay Later after you select Reconcile now. To know more about how you'll be able to do this, you can check this article for more details: Reconcile Previously Deleted And Re-Entered Checking Or Credit Card Transactions.
Furthermore, to ensure that your QuickBooks Desktop account is protected, you'll want to reset your admin password. This is to ensure that only you have the access to your account. I've added this article so you'll have a quick reference with the process: Reset Your Password For QuickBooks Desktop.

Hello Maria - no this does not work. I am not needing to do a reconciliation. My bank account is not linked to QB. I also do not reconcile in QB monthly. I just manually reconcile the month ending bank balance to my month ending Expense Account Operations QB account off the books.
Please see the attached file. This is where I am off. It has added $1,332.88 to my Expense Account Operations balance. Every month ending is now different from the inception in September 2018 to the last month ending October 2022. Each has an additional $1,332.88 from the original correct balance.
How do I get rid of this?
Hello Maria,
The solution you have here does not work. I do not reconcile in QB. I only manually do this with my checking account balance and compare it to month end for my QB Expense Account Operations balance.
I have attached what is in the Deleted Transactions Summary. The amount of $1,332.88 was added back into the Expense Account Operations balance on 11-2-22 from 9-4-18 onward. Thus every month end from Sept 2018 to Oct 2022 is off by exactly $1,332.88 from what it originally was. Thus for month end Oct 2022 the balance should be $62,894.38 as it showed on my printed report for Oct 31 when I printed it on 11-1-22. As of today that month end balance now shows it to be $64,227.26, exactly $1,332.88 higher.
How do you fix this?
Thank you for the screenshot, Zenbutcher.
You'll want to run the Verify and Rebuild data utilities to check if is just caused by random issues. Please back up your company file to keep a copy of your file.

If you have any other concerns, feel free to reach back out. Have a good one!
I am not understanding what you wanting me to do Jess. I don't care what caused it, I want to know how to fix it.
Now are you showing me how to save the company file before I try to fix/reverse the problem that was created on the attachment I sent?
All I need to know how to do is how to reverse what is shown on the attachment. How do I do that?
To me it would appear what needs to be done here is to to restore check #17651. That is the only way the Expense Account Operations account will be brought back into balance since it is overstated by $1,332.88. Since that transaction is from Sept 2018 I would assume I also have to restore that check using that date.
Please advise if this is correct before this turns into an even bigger fiasco.
Thanks.
Re-create the deleted paycheck and enter the details from your screenshot - check #17651, dated 9-4-18, amount $1332.88, assign the Payroll account (as shown in your screenshot) to the check. That should bring everything back into balance.
Thank you Rainflurry. In order to recreate the check you also have to put in the same gross amount, and do the deductions the same for Fed, SS, Medicare, State Tax for employee and then the Employer contribution part as well. This was all done as of 9-4-18 so hopefully nothing will appear on my reports for November 2022.
My Expense Account Operations balance is back to where it should be and matches my bank account balance.
THANK YOU!!!!!!!!!
I have deleted the wrong duplicate before and had to undo recon and re reconcile multiple months worth of data. This has save me sooo much time. I never though about changing the data and it not messing things up after that date.
You have saved me!! THANK YOU! In the past I would have too reconcile each month again. When it was an old check it took forever. I never knew I could change the date and not effect the other reconciliations.
