How do you post after the fact paycheck and backdate it.  This is in QuickBooks Online.

Thanks for asking the Community, @KLEKWW. I'm delighted to walk you through creating a backdated paycheck in QuickBooks Online. 

 

We can run an unscheduled payroll to process a late payroll. However, due to law of constructive receipt, paychecks should always be dated as the funds become available to the employee.

 

Here's how: 

 

  1. Go to the  Payroll menu, then select Employees.
  2. Select the dropdown menu, and choose one of the following options: Bonus only, Commission only or Fringe benefits only.
  3. Select As net pay or As gross pay, then enter any info about taxes or paycheck calculations if necessary.
  4. Review the QuickBooks bank account to track your payroll, the pay period and pay date.
  5. Select the employees you'd like to pay, then enter hours, compensation, memos, or any other paycheck info as necessary.
  6. Click Preview payroll, and then select Submit payroll.
  7. Confirm the amounts and payment methods and select Finish Payroll.

This does not work.  I've hit the submit button 10 times and it will not let me process the backdated check stating that this will create tax penalties and I can go no further.

I understand the hassle of not able to process a backdated check. I'm here to provide you the possible reasons what's preventing the process of the backdated check, @pamella8.

 

If you are using direct deposit, submitting a backdated check electronically may not be possible due to system restrictions and potential tax penalties. In this situation, issuing a paper check for the backdated payment could be the most appropriate alternative.

 

Here's how:

 

  1. Create your paychecks.
  2. Change the paycheck date to the date you paid your employee and the pay period if necessary.
  3. Update the check type from direct deposit to paper check if that's how you paid them, and submit your payroll.
     

Please keep in mind any potential late tax payments you’ll need to make after creating backdated paychecks. You can either pay taxes online or manually record if you've already paid them.

  • Sorry but this doesn't work for a fringe benefit check.  This may work for a payroll check out of sequence but not fringe benefit check.  I changed to a paper check and cannot submit.  It does not allow it to be processed.   Maybe you can suggest another way for this to work.
