Let me walk you through the steps on how to export your data, @ddoyle1.
You can export your lists and reports to transfer your data from QuickBooks Online. I'll show you how.
I'm adding this article to learn more about how you can export your data: How to Download your Data from QuickBooks Online?
You may also read this reference that'll help export any specific transaction data: How to Export Reports from QuickBooks Online?
It'll always be my pleasure to help if you have any other questions besides this exporting concern. I'll be here to lend a hand. Take care and stay safe!
Do you need to migrate to QB Desktop or another accounting app?
I tried this several times yet there seams to be no combination to make it work. What are the parameters to make exporting ALL my own data possible? Do I need to export one year at a time? One month at a time?
Did you find an online replacement for QBOL? or are you moving to a desktop version?
I found this on another support thread and thought it could be useful to you.
QBO does not have a back up at all from the user perspective. And when you close your account Intuit will only save the company data as a read only file for one year, then it is deleted - which does not help if an audit occurs in year 2 or 3.
Intuit backs the servers up, but can not restore your specific file from that back up
US Versions ONLY: Both of the QBO export options to the desktop do not work accurately, not everything is exported, inventory item types are changed with no history, payroll checks are just expense checks, and the make local copy can not be used or opened from desktop. These known problems have existed for over 9 years.
All Versions:
The only real option to get all your data for archiving against a future audit is to have an accountant log in and print or export to excel the general journal. (Or invite yourself as the accountant, create the log in, and log in as the accountant so you can use the accountant tools.) Due to QBO's limited data handling capability that will probably have to be done in date segments. Of course that may not help in the event of an IRS audit since they have stated that the actual software data file is what they want, and an excel spreadsheet is not satisfactory.
(Note: simple start does not have a true general journal report at all.)
QBO data handling capability for reporting is not adequate, if there is more than 5K records it times out and reports that you have too much data. You will have to do a journal report in date range segments, like Jan-Feb, Mar-Apr, etc etc.
How many months you can span per report is a guessing game since the report can not deal with more than 5K transactions.
Note that in the app store there is now some "backup" apps you can subscribe to, one subscription per company file. What these do is take a "snapshot" of your QBO data so you can restore it if needed. But in terms of a standalone back up file that you can access, or save against a future audit, no there is none.
The same question. Do you prefer to migrate data to QB Desktop or another cloud-based accounting app?
Anything other than an Intuit product or anything based on Qucikbook base programing. To many issues to trust QB, QBOL or anything Intuit has touched.
Check your PM. Hope it helps.
I am interested to hear if you were able to get it migrated and if so, what did you end up choosing? I have 2016 Pro desktop that in the last month has begun locking up and been unable to open. It will even lose files and when I attempt to reintall files that I backed up to a USB hard drive, it won't accept/read them. Now I get a message from Carbonite that says they can not save/backup any files that end with .qbw or .qbb, etc so I am out of luck. I just lost an entire week of customer accounts and deposits done.
Have you tried to run QB Tool Hub to fix your file? How big is your file size?
You may consider to purchase the one time license for QB Desktop 2021 to upgrade your file.
Hi WildeBiz,
Thank you for visiting the Community this evening. I'll share information about the scenario and how you can open your company file.
Version 2016 has been retired 3 years ago, and any updates on your computer's operating system could make it incompatible. For these reasons, I agree with Fiat Lux - Asia's suggestion about purchasing a 2021 version. You can find it in retail stores, or find a ProAdvisor near you who has at least the 2019 version.
I'm including these articles to help you with converting your data to a newer version: Upgrade your company files after you switch to a new version of QuickBooks Desktop. You'll want to go to Step 3.
Alternatively, you can purchase the latest version, 2022. However, I just want to set your expectations before purchasing anything. Please know that starting version 2022, all QB desktop products are subscription-based. This means they will renew each year, unlike the older versions wherein you can buy a license that is good for 3 years.
If you have any other concerns about your data, feel free to go back to this thread.
