biweekly payroll change with overlap of days and salaried employees

Biweekly payroll changed from Wednesday-Tuesday biweekly period to Monday-Sunday biweekly. This led to an overlap of two days for the first payroll period of the change.

How do we account for salaried employees with this one-time overlap? We have taken two days of salary from the salaried employees, and this doesn't feel correct, but don't have a solution or answer.

Thank you for reaching the Community, don101.

I'd like to share an idea about changing your employee's pay schedules in QuickBooks Online Payroll.

You're almost there, since you're changing the pay schedule it will normally overlap the previous pay schedule for two days. You can either reduce the amount for two days or set up a deduction item.

To update a pay schedule:

  1. Go to the Payroll menu, then Employees tab.
  2. Select the employee's name.
  3. Click on Edit employee.
  4. Select the How often do you pay [employee]? ▼ dropdown. Then select the pay schedule for the employee moving forward. Or, to create a new pay schedule, select Add new. Fill out the appropriate fields. Then select OK.
  5. After that, click on Done.

I've added this article for additional info: Set up and manage payroll schedules.

Let me know if you still have other questions about payroll. I'm always here to help. Have a great week!

That did not answer my question. When your salaried employees have the biweekly pay period cycle changes by 2 days, why do they not get paid their normal biweekly salary for the transition period? Shouldn’t they get 26 bi-weekly checks for the same amount, even if the day periods change?

Thanks for getting back and providing additional information about your concern, @don101.

In this case of yours, you can override the salary of the employee by overriding the hours worked to make some adjustments.

To do this, here's how:

  1. In the left menu, select Workers/Payroll.
  2. Go to the Employees tab.
  3. Click Run Payroll.
  4. Select the pay schedule of the employee.
  5. Click Continue.
  6. Check the box to the left of the employee.
  7. Under the Salary column, select the hyperlinked dollar amount.
  8. Select adjust Salary this time only.
  9. Enter the hours of unpaid time off.
  10. Choose Apply.

But if you're done running payroll, you can void the paycheck if it's not yet processed. If processed, you can adjust on the next payroll instead and set expectations for the employee.

For more information about overriding the employee salary, see this article: Override an employee's salary in Online Payroll.
