Can I add an international employee without SSN?

Yes, you can add an international employee that has no Social Security Number, johnson. I'll go over some details on how.

You must have your employee provide their visa or SSN information by filling out the I-9 Form (Employment Eligibility Verification). Both US citizens and non-citizens are included in this. After completion, you can start recording payroll, but you will need to use a third-party provider for payroll remittance.

Browse the following web pages to get a copy of the form:

Once you're good, feel free to also read the year-end guide for QuickBooks Online. This contains helpful information about what you need to prepare to close out the previous year and start a new one.

I'd be delighted to assist further regarding payroll or QuickBooks. Just comment back for more help. Stay healthy and have a good one!

Can I add an international employee without SSN?

Thanks for the update, Johnson . I'll guide you through the following steps so you can proceed with adding your employees to QuickBooks.

Since the I-9 forms have already been signed, the IRS can assign a unique number to your employees. In this case, I recommend contacting them and ask your employee's SSN.

To obtain a specific telephone number, follow this link and go directly to the IRS Phone Numbers and Tax Help Options section: Let Us Help You

After getting it, you can continue adding your employee and processing direct deposit payroll

In addition, check out the following articles below to learn how to handle your employee's information, direct deposit, and other related matters:

If you have any questions about payroll or employees, keep me informed. I'm eager to assist you. Stay safe, @Johnson.

Welcome to the Community, @driggstire.

Your employees must provide their visa or SSN information by completing the I-9 Form (Employment Eligibility Verification). This requirement applies to both US citizens and non-citizens. After the completion of the I-9 form, the IRS may assign a unique number to your employees. In such cases, I recommend reaching out to the IRS to obtain your employee's SSN.

You can click this link to obtain the phone number of IRS: Let Us Help You.

Once done, you can continue adding your employee to QuickBooks Online Payroll and process a direct deposit.

An employee, who is not a US citizen (referred to by the IRS as a Nonresident Alien or NRA) may be exempt from certain payroll taxes based on their visa type.

First, determine which payroll taxes your employee is exempt from based on their visa type. Once you have this information, proceed to add the employee and exempt the relevant payroll taxes accordingly.

Here's how:

  1. On the left navigation bar, hover your cursor to Payroll, then select Employees.
  2. Select Add an employee.
  3. Below the email address field, uncheck Ask this employee to enter their personal, tax, and banking info with QuickBooks Workforce. You’ll need to add their information.
  4. Fill in the info for each section.
  5. From Tax withholding, select Edit.
  6. Add the Federal Withholding info. If your employee is exempt, from the Filing Status ▼, select Exempt.
  7. Fill in the State Withholding info. If your employee is exempt, from the Filing Status ▼, select Exempt.
  8. From Tax Exemptions, select the taxes your employee is exempt from.
  9. Once done, hit Save.

Also, where your employees live and work determines the state payroll taxes you and your employees are subject to. Here is a link you can use as a future guide for QuickBooks Online: Set up employees and payroll taxes in a new state.

Let me know if you need further assistance in adding your employee to payroll. I'm always here to help. Have a great day.

Can I add an international employee without SSN?

Hello,

I am in search for the same answer and the above is not conclusive. My employee does not have a SSN neither a visa. They don't live in the US neither aspire to, they rather do remote services from over seas.

Is there a way to get them paid via our small business Intuit accout?

Thank you,

Mike Jucker
