Can I change hourly rate for next payroll when payroll is processing?

Welcome to the Community, @CC114. Let me share my insights about changing the employee hourly rates in QuickBooks Online (QBO) while processing payroll.

Yes, we can update an employee's rate in QBO even if the paycheck is still in process. Doing so will not also affect the current payroll. To do that:

  1. Go to Payroll, and select Employees.
  2. Select the specific employee.
  3. In the Pay Types section, click Edit.
  4. Enter the updated rate in the Rate per hour box, and select Save.

Moreover, we can invite your employees to QuickBooks Workforce so they can view and print their pay stubs and W-2s online. They can also opt for a paperless W-2, and allow them to add their personal information.

Please feel free to reply if you have further clarifications about changing an employee's hourly rate in QBO. We're always available to assist you. Take care, and have a great day!

Can I change hourly rate for next payroll when payroll is processing?

What if you don't have a Save button? I'm trying to update some employees hourly rates and I can enter the rate but there is no way to save it and it keeps reverting to the old rate. I've tried it from the employee directly as well as from the Pay Types. I don't see the "Hourly" pay type under the list of pay types, active or not, but I can't create a new "Hourly" pay type because it already exists.

Hi Sheena,

Thank you for following the steps my colleague has shared. Let's check out why you can't find your existing Hourly pay type or the Save button. I understand that the system still recognizes the said pay type and is preventing you from creating a new one.

To start, we can sign in to QBO using a private or incognito browser. In this mode, there are no extensions, and cached files are not used, allowing the browser to load fresh data from Intuit's server. Below are the shortcut keys to open a private or incognito browser.

For PC:

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P

For Mac:

  • Google Chrome: Command + Shift + N
  • Safari: Command + Shift + N
  • Mozilla Firefox: Command + Shift + P

If you manage to locate the Hourly pay type and edit it while browsing privately, switch back to regular browsing and clear the cache. If not, use a different browser so we know if this only happens to the one you use.

Let me know how the steps work for you, so I can provide further assistance if needed. Take care and have a good day!
