We can retrieve the employee's W-2 information as long as you processed payroll through QuickBooks. Otherwise, the system does not have a copy where you can retrieve their details.
If you have processed payroll through QuickBooks, you can retrieve them by resubscribing Quick Books. Here's how:
- Log in to your QBO account.
- Click the Gear icon and select Account and Settings under Your Company.
- Select Billing & Subscription and click Resubscribe.

One more thing, you'll have to make sure that you resubscribe QuickBooks within one year after you cancel the account. Otherwise, all the data will be deleted in your book.
Here's how to retrieve your employee's W-2 information:
- Go to Taxes on the left panel and select the Payroll Tax tab.
- Under Forms, click View and Print Archived Forms for the annual forms.
