Direct deposit

Let me help you sort this out, Proto123.

Your employees will get paid based on when you submitted the direct deposit payroll, not on the pay date. These are the different funding times in QuickBooks Payroll:

  • Same-day: Workers are paid the same day you send your payroll to us.
  • Next-day: Workers are paid the next banking day after you send your payroll to us.
  • 2-day: Workers are paid two banking days after you send your payroll to us.
  • 5-day: Workers are paid five banking days after you send your payroll to us.

We can take a look at the details in the following articles below. These will provide us with more information about how to handle an employee's direct deposit as well as its lead time:

Pay your employees on time.

Employee did not receive direct deposit created in QuickBooks Desktop Payroll.

If you have more additional direct deposit questions, please let me know. I'll be around to help, Proto123

Direct deposit

I have Desktop Enhanced payroll.  I just finished - it is 3:00 CST on Wednesday 3/15/23.  My payroll is for Friday 3/17/2023.  QB keeps telling me it is too late to send the direct deposits - I need two banking days lead time.  5 pm PST is not for another 14 HOURS!!! There is not a banking holiday.

What is going on???

Hi there, BlondBookkeeperNM

I'll share some insights about sending direct deposit payroll in QuickBooks Desktop Payroll

That's correct. When sending direct deposit payroll with a Friday pay date, you must send it by Wednesday at 5 p.m. PT. You also have to consider the Federal holidays that may affect your direct deposits.

There's a possibility that you've set an incorrect paycheck date which explains why you're receiving this message. Before sending the direct deposit payroll data, I recommend that you review the payroll information and, if necessary, update the paycheck date you've set.

Once everything is set up correctly, you can now send the payroll data to Intuit.

Here's how:

  1. Go to  Employees, then Send Payroll Data.
  2. In the Send/Receive Payroll Data window, click View in the Items to Send section to review the following info:
    • The paychecks to be processed.
    • Direct Deposit amounts.
    • The funds to be withdrawn from your account.
  3. Select Close to close the View items window.
  4. Click Send All. Enter your Payroll Service/Direct Deposit PIN then OK
  5. Once done, you’ll return to the Send/Receive Data window. Under Items Received, select View to view important payroll messages or confirmation reports.
  6. Hit Close to close the Send/Receive Data window.

Archie,

I believe you misunderstood the timeframe.  I was 3 AM - 14 hours BEFORE the cut off of 5 pm PST on Wednesday.

I appreciate you getting back to us, BlondBookkeeperNM.

There are instances why this prompts your direct deposits to be too late to send; you'll want to check your personal device's date and time zones are in the correct format and setting. Since QuickBooks Desktop relies on the time and date setting on your computer, these details will matter when submitting payroll.

If these are in the correct setting and still haven't been submitted yet, I'd suggest updating QBDT to its latest release. Doing so will keep the program to its latest updates and features.

Moreover, I'm adding this article to help you review what you've paid out in your desktop payroll: Create a payroll summary report in QuickBooks.
