Hello there, @Tax23.
I'll gladly share some insights about printing 1099s and 1096 forms and guide you on how to do this in QuickBooks Online (QBO), so you can keep a copy and mail one to your clients accordingly.
You won't be charged a fee, and your forms will not be filed again when you click the Print and mail option after e-filing 1099s in QBO. However, you can always visit the 1099 filings tab to print your newly e-filed 1099s. To do this, here's how:
Moreover, Form 1096 isn't required by the IRS when you're filing electronically. Since you need a copy, you can print one (using either pre-printed forms or blank paper) by following the steps below:
If you wish to see the complete guide in printing 1099 and 1096 forms in QBO, please refer to this article: Print your 1099 and 1096 forms.
Also, you may want to check out this article as your guide in wrapping up last year's payroll and preparing for the current one with QBO Payroll: Year-end checklist for QuickBooks Online Payroll.
If you have other 1099 concerns or questions about managing vendor/contractor transactions in QBO, I'm always ready to help. Take care, and have a great day, @Tax23.
Intuit - You need to fix your efile1099 tax service so that ALL businesses that pay for the service receive ACTUAL copies of ALL forms AND HAVE ACCESS TO ARCHIVAL COPIES ON DEMAND. We pay you to efile 1099s and 1096s - the only way we can access those ACTUAL FORMS (not a blank copy that we print from your screens) is to go procure additional forms and print them. The entire reason we pay to efile is so that we DO NOT have to go get forms (or pay for them a second time from your site). We pay you to efile, you need to give us archival copies of the ACTUAL forms - not tell us to print them ourselves using forms we DO NOT HAVE.
Per the IRS website you are not required to file a 1096 if you efiled your 1099's. ONLY when printing and mailing them.
i am a quickbooks representative as well and this is true.
I did not need to purchase additional forms. From start to finish, it's all online. When you create them, at first it only shows you a draft, but then after I filed, I was able to download and print actual forms that have the boxes, etc. Go to Taxes and 1099 filings, it shows filing status for each contractor (accepted) and there's a button to View 1099's on the right. This is the IRS copy with the red boxes they filed on your behalf. There is not a 1096, as it is not required when e-filing. See the other reply to your message confirming this. I hope this helps.
Attention all Quickbooks resposnders, you are are completeing missing the point each person is asking in this thread - We want a prinatable copy of the 1096 form you filed with the IRS when we completed 1099 forms. Since filing 1099's things change, we need to file more, we need to make corrections. We need a copy of the exact form that was filed, not a way to print a new one that may include information that has changed*** Did you file a new 1096 when I filed addtional 1099s after? We don't know this crucial information. We don't know what to put on a 1096 form when we file a correction if other changes have been made too.
This is incredibly frustrating we can't do this through quickbooks & that we cannot file corrections. All these things can be done in ProSeries which is also owned by Quickbooks.
So - How do we get a copy of the exact 1096 form that was filed with the IRS. NOT CREATE A NEW ONE. You provide this for 1099, where is the 1096???
We have already e-filed and those options ARE NO LONGER AVAILABLE. Please stop giving that steps or option because it's not there anymore. .
Quickbooks - if you are audited for a multitude of reasons, the auditors also request actual copies of 1099s and 1096 forms. You might not need the 1096 when you efile, but you do need it if audited later by a third party governmental agency. PLEASE make these available ON DEMAND.
There is no option to print the 1096 form in Quickbooks Online.
Is there another way?
Hi there, @dawender.
I see that you're worried about the lack of the ability to print Form 1096 in QuickBooks Online. Allow me to share some details regarding this matter.
When filing electronically, the IRS doesn't mandate Form 1096. Nevertheless, if you're filing manually, you must complete the 1096 form and mail it with the 1099s. For further information, click the View Summary button. After completion, you can affix it to the 1099 copy and send it to the IRS.
I'd like to leave this article about printing tax forms: Print your 1099 and 1096 forms.
Additionally, reviewing your past tax forms and payments, here's an article for more information: View your previously filed tax forms and payments.
If you have more questions about managing your tax forms or any other QuickBooks product, don't hesitate to click the reply button. I'm always around to help!
Again -
If you efile, you may be asked to produce 1096 for auditors. Efilers also need a copy of the 1096 ON DEMAND.
I just tried to speak with someone in QB Online Contractor Payroll dept (was transferred multiple times with no resolve) to ask the question about having a print option for the 1096 and state 1099s (in proper format) after they have been efiled. Once they have been efiled to the IRS, there is no option to process them on your own and print anymore b/c the system recognizes them as already filed. The view and pdf and zip file option are NOT what we need. If I had know this, I would have utilized the print on my own option first and not the efile first. I was unaware that QB online wouldn't create a proper data file for state filing. This should be a warning at the beginning of the process if it won't be available later/after. PRINT ALL FORMS NOW AS THEY WILL BE UNAVAILABLE AFTER EFILING. QB support, PLEASE dive deeper into this as it looks like it might have been an option years ago, but you no longer can "file" by paper after efile. You go to file 1099s, select accounts, view recipients, click next and it show zero contractors to be filed. You can tab to view those already filed but cannot proceed. You can view summary or download but those are not what we need either. Please advise properly or just state that this is not an option - you cannot print a 1096 nor state format copies (instead of individual pages) of the 1099 after efiling them. Another QB Online fail! Or PLEASE tell me I'm wrong and I can somehow reverse QB thinking they are already filed and can redo!

Once I hit "file 1099's" It just bring me back to the file page. I have no where to "print and mail" the 1096. This is insane that it is so hard to print the 1096. Please advise
I see the importance of printing Form 1096 as you file your 1099s with the IRS,
Printing and filling out Form 1096 is not available in QuickBooks Online (QBO) and QuickBooks Contractor Payments because QBO does not offer a Form 1096 that complies with IRS guidelines. Therefore, you will need to print this form outside of QBO. You can obtain Form 1096 from the IRS or manually download it from their website and include the summarized information from the 1099 form.
In addition, if you e-filed your 1099 you can print it by following these steps:
