Thanks for taking the time to share your concern with us, @reginawaugh,

 

If your government numbers does not print correctly, make sure the format is correct on the vendor's profile. Social Security Numbers are in XXX-XX-XXXX format, while Employer Tax ID numbers are formatted this way, XX-XXXXXXX. 

 

You will see this information when you review the contractor's information when processing 1099. See this screenshot with both SSN and Tax ID numbers:

 

To edit a vendor's profile, follow the steps below:

  1. Go to the Vendors tab in Quickbooks Online
  2. Click on the name of the vendor
  3. In the top right hand corner, click the Edit button.
  4. The information that reflects the tax forms is what you put in the Business ID No. / Social Security No. field. See this:
  5. Click save and start the 1099 process again.

If it's correct but prints the number erroneously, try clearing the cache to start with a clean slate.

My vendor numbers are good. It is my company Tax Id. It should be a ssn and everywhere I look it is typed correctly but when I print the 1099 it shows it In EIN form.

Let's update your business account information to show it in your 1099s, @reginawaugh.
 

You can go to your Account and Settings to update the EIN to SSN. Let me show you how:

  1. Go to the Gear icon and choose Accounts and Settings.
  2. Click the Company menu.
  3. Select SSN and enter the SS number in the field provided.
  4. Choose Save, and then Done

 

Once done, you can now prepare and e-file your contractor's 1099 with the SSN information. For your reference, you can check out this article for more guidance: Prepare and file 1099s.

It is the Company ID I am having trouble with, it is listed as a Sole Proprietor with a SSN # but it still prints in EIN form on the 1099's. I was on the phone with Quickbooks for an hour to have them tell me that they have a default set on the 1099 form for it to print in EIN form. When you get to the 1096 you can select which form you want it to print in... To me this is ridiculous... As a financial software they should have the capability to have the number print correctly no matter which form.

I’m having the same exact issue, so did you just leave the EIN on the 1099s and print in SSN form on the 1096?  This is dumb.

The Community has got you covered, @Cniska .

 

You can manually send the 1096 form with the corrected SSN number. Also, if you're using our e-file 1099 Service you don't have to file Form 1096, check it here for more details: Create and file 1099s using QuickBooks Online.

 

Then, here's how to print 1096 in QuickBooks:

 

  1. Go to the Expenses menu then Vendors.
  2. Select Prepare 1099s.
  3. Enter all information correctly for the tax year, then click Print and mail.
  4. Choose the 1096 form. If everything looks good, pick Yes, looks good! Then choose Print on a 1096 Form.
  5. If the form needs to be aligned, select No, it doesn't line up, and select Next. Then re-select the 1096 form, and select Print on a 1096 Form.

I am having this same issue on 2021 1099NEC’s and I see it’s a problem that QuickBooks already is aware of.  This is not good for the company to ignore the problem and create more work for the Accountants. 
using QB since 1999 and this is the first time there has ever been a problem since I switched from Desktop to Online. QB needs to resolve or I move on.

You’ll need to enter your SSN in the company settings. This way, the number will just auto-populate when you prepare or print 1099 forms.

 

Here’s how:

That has been done correctly and customer service reviewed that it has been. This is a known formatting issue that QuickBooks hasn’t fixed in its software. The Business ID that is an SSN prints as an EIN on the form.

can’t be changed because we all tried.

I'm having the same problem. I had my employer tax ID in there, but I think as a sole proprietor pass through I'm supposed to use my SS number, so I changed the Tax ID in the payroll/contractor/prepare 1099 wizard and clicked save. I believe it saved because it shows up in my company profile with my SS number. However, when I continue with the 1099 wizard and preview the form, it still has my employer Tax ID as if it didn't save.

Thanks for updating us on the steps you've performed, Mikeroni. I know it can be rough when the Tax ID still shows in your 1099. I'm here to help with that.

 

To start, let's enter your Social Security Number (SSN) in the Company menu. This way, the number will auto-populate when you prepare 1099 forms.

 

  1. Click the Gear icon.
  2. Choose Accounts and Settings.
  3. Choose the Company bar and click the Company name section.
  4. Select SSN and enter the SS number in the field provided.
  5. Click Save, and then Done

 

If you have an active payroll, you'll only see EIN in the Company menu. QuickBooks thinks you have employees because of the subscription.

 

Then, I'd suggest reformatting the Tax ID as an SSN in the Vendor profile. I'll show you.

 

  1. Go to Expenses and then click Vendors.
  2. Click on the name of the vendor.
  3. Choose the Edit button.
  4. In the Tax ID box, retype the SSN using this format (XXX-XX-XXXX). The system will detect it as a Tax ID if the dashes aren't entered.
  5. Click Save and start the 1099 process again.

 

If the issue persists, I'd suggest logging in to your QuickBooks Online account via a private window. This doesn't use the existing cache files, which makes it a good place to determine if this is a browser-related issue.

 

Here are the keyboard shortcuts: 

 

  • Safari: Command + Shift + N 
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Shift + P 

 

Once logged in, check the form if the SSN shows. If it does, let's clear the browser's cache. This removes its stored files to ensure the program performs efficiently.

 

If private browsing doesn't work, I'd recommend using other supported browsers. They'll provide the best and most secure experience with QuickBooks.

this option is not on the online Quickboooks. It states to enter your SS in EIN format but still won't be accpeted on 1099 screen as acceptable.

It is not fixed. It says that since there is an employee (which there isn't) that it needs to be an EIN number. Updated the company profile to EIN format and still can't get past the first screen to process 1099s.

I appreciate you for trying the abovementioned steps provided by my colleague. If you enter the Tax ID with a space, it will not be accepted during the 1099 form process. Can you verify it again?

I've literally been in a chat with QBO for about 2 hours now. Trying to fix this exact issue. And they stated that this is how it has to be done, and it's okay to file like that. (It's not)

I have the accountant version, and have previously filed 1099s for my clients, from their QBO accounts, showing an SSN instead of an EIN. So I know it's wrong that it's not possible. But chat doesn't seem to be able to help either.

Yes I'm having the same exact problem.  Can't get past the "needs to be an EIN because you have an employee" which I don't have an employee.  Just trying to get a 1099 done for ONE contractor we paid in 2022.  Please fix the issue Quickbooks! I even went as far as creating a totally different acct (and paid again) in case it was an issue with my original account.  Totally frustrating!

This still has not been solved. I've had 2 separate conversations with Quickbooks over the phone.

 

The second rep I talked with was great, but expressed it's an issue with their software. I filed a complaint to help, but I doubt it will fix the issue.

 

At one point, a back end support person actually tried to tell me that the 1099 should be filed with the EIN number, even though that is against the IRS bylaws for disregarded entities...

 

Really hope there is a solution to this. Fixing the Company Information does not solve the problem when e-filing the 1099's

I think we finally got down to the root cause of the problem - at least for anyone using the Accountant version. QBO gives us free payroll, even if we don't use it. Because we have payroll on our accounts, whether active or not, the system requires an EIN because we have to have one for payroll. I tried arguing about how this doesn't really make sense, because I have never set up the payroll, it's just there, but that was the final word.

I can't believe this is still a problem, What are we all paying for anyway? a service that does not function correctly, they can not or will not fix and yet the cost of Quickbooks just keeps going up. Really! What a rip off! This is extremely frustrating.I think it is time for me to move on. customer service is no help at all on this issue just a huge waste of time.

I know it hasn't been easy when you've been waiting for a fix for a long time and know that I do understand your frustration regarding this matter. No worries, I'm here to help you out and will share some information to clear things out.

 

First off, I'd like to confirm if you've done the recommended steps mentioned by my colleagues above. If not, I'd recommend doing so. 

 

If you're done following the recommended solutions and the EIN number is still showing on 1099 instead of the SSN number, your payments could've included a credit card, debit card, gift card, or Paypal. Please know that IRS doesn't allow the mentioned electronic payments to be reported on Form 1099, causing the system to automatically exclude these for you.

 

However, if your payments don't include one, I'd suggest contacting our Customer Care Support. This way, our live agents can perform screen sharing if needed to assess this behavior thoroughly. I have done all of the steps you mentioned. The problem still persists and gives an error message about "because you have had an employee, we expect an EIN." I have never had an employee, used the payroll, or anything involving W2's/Payroll tax.

 

Customer Care is not helpful for us. For me personally, I've talked with them twice and gotten no support other than "we'll let you know if it's fixed" or "file by mail".

 

If the issue is an overlay issue with your Payroll software, that needs to be what's addressed. It might be assuming that anyone who has the subscription has the need for an EIN.

Having the same issue.  This along with the date being incorrect on non intuit purchased forms.

I am absolutely disgusted that neither of these issues were fixed in time for filing. If I receive anything back from the IRS regarding incorrect filings I will be sending it to intuit and if I am charged any penalties I will be taking Intuit/Quickbooks to court to pay any fees.  

Quickbooks keeps raising all their prices on both online and desktop and neither program has worked CORRECTLY for 1099's this year, it is a complete disgrace!!!

Looking for another software to switch to before tax season next year.
