My laptop crashed and there was no backup files.  I have now reset up my account.  How can I get my past payroll info for my employees? I have quickbooks premeir plus desktop

Thanks for turning to the Community for support. I'd be glad to offer some info so you're able to have your employee's payroll info in your QuickBooks Desktop account.

 

Would you happen to have any physical paper copies of checks, deductions, or any similar payroll detail reports? If so, you can use those documents to enter previous payroll data into the Desktop system. Here's how:

 

1. Choose the Employees tab in your account, then Payroll Setup.

2. Select Payroll History.

3. Enter whether or not you've paid employees this year.

4. Complete the following on screen prompts.

5. Choose Enter pay history for each employee and use your reports to enter the correct info.

 

I recommend checking out the following article for even more info, specifically Step 3: Enter Pay History: Get started with QuickBooks Desktop Payroll

 

By completing the steps above you'll be able to enter previous payroll info and get back to business. Feel free to reach back out if you happen to have any other questions. I'll be here to help.

I have a few check stubs but not all.  Is there a way quickbooks can send me the info from april through july?  Like through a email?  Or if I upgraded to online will that make it possible to get this info easier?  I know everything with payroll is transferred to quickbooks when i do payroll.

Thank you for reaching out to the QuickBooks Community! That is a good question! But for security reasons, we do not have an option to email payroll information like that. However, could you share which Payroll service you are using? If you are using Assisted Payroll, this information can be pushed back into the file, but this is impossible if you are using Enhance Payroll.

I have enhanced payroll.  I know I tranfer everything to intuit with each paycheck I make.  Surely you have records of what I have transfer>

I understand how important to get all the payroll data entered into your QuickBooks Desktop (QBDT) system.

 

Retrieving the files stored on your device will be difficult if something happens to it. If you want to recover it, you might want to talk to an IT professional. Additionally, if there is a recent external backup copy, you might look for it so you can restore the files in QuickBooks Desktop

 

On the other hand, you can also prepare historical data in an Excel file as an alternative. Use a third-party importation program after that. Otherwise, I suggest making recreating these paychecks. It will not let me select to enter past paychecks individually.  It has the options for entering the whole quarter.  

If I upgraded to assisted payroll would I be able to retrieve past payroll info?

I can see you've been through a lot in trying to enter past paychecks individually in QuickBooks Desktop (QBDT). 

 

As my colleague, RoseJillB, mentioned above, retrieving the files stored on your device will be difficult if something happens to your device. You might want to consult with an IT expert if you wish to recover it. To recover the files in QuickBooks Desktop, you might search for a recent external backup copy.

 

As an alternative, you can also prepare historical data in an Excel file. After that, use an importation tool from a third party. If not, I recommend creating new files for these paychecks

The only trouble I am having now is getting so I can enter my paychecks individually instead of by quarter.  It has both options but will not let me select the option I want.  

I also ask about upgrading to payroll assist if it would help me in getting some of my past payroll data.  But I can't seem to get an answer about that.  Since even with enhanced payroll I still transmit my data to intuit after each payroll.  I know the data has to be saved somewhere.

Let me help you enter backdated payroll in QuickBooks Desktop (QBDT).

 

In QuickBooks, there are two options to enter backdated payroll. There are: 

 

  • Entering the individual paychecks to see the actual paychecks in QuickBooks.
  • Entering the YTD amounts (lump sum) inside or outside the Payroll Setup page.

 

On the other hand, if you want to enter this in a lump sum amount, you can refer to this article for detailed steps: Enter historical data in QuickBooks Desktop Payroll

 

To create actual paychecks, you can use the Unscheduled Payroll. You can do this per employee and per pay period. I’ll show you how:

 

  1. Click Employees at the top, and then select Payroll Center.
  2. Select Unscheduled Payroll or Pay Employees from the Create Paychecks section depending on what you see.
  3. Enter the Pay Period End date, Check Date, and Bank Account where the money will be drawn from.
  4. Choose the Printing Option that applies to you.
  5. Check the name of the employee(s) that were paid on the period you entered.
  6. Double-check the employees' amounts in the appropriate columns.
  7. Click the Open Paycheck Detail button to edit a specific employee's payroll details.
  8. Click Save & Next to go to the next employee, or Save & Close to go back to the main screen.
  9. Click Continue and then Review and Create Paychecks to finish.

 

Nevertheless, you’re right that your payroll data will be sent to intuit before your paycheck date to guarantee your direct deposit process on time.
