I can see how you want to email your employees' paystubs at once, AVoll.

 

You'll want to let our product team know that being able to email paystubs at once will save time and benefit your business. To do so, you can check out our Customer Feedback page so you can send your request from there. You can click on the Give feedback option highlighted in yellow. Hello, Lisa Bolduc. 

 

​QuickBooks desktop requires you to use complex passwords. It’s simply a password that contains at least 8-16 characters with at least one number, one uppercase letter, one lowercase, and a special character. Also, the the password must not contain the username and vice versa. 

 

You need to follow the required password in QuickBooks to successful log-in.

Thanks for joining this thread, @OmniC. I want to ensure your employee can access the emailed pay stub.

 

There's a change in password requirements for QBDT 2018 and later versions. Please refer to the following information below:

 

  • The first three characters of the employee’s last name followed by the Employee’s Date of Birth in MMDDYYYY format.
  • If your employee’s last name is shorter than 3 characters, they can use the whole last name. Do not append the first name to it. The characters are always lowercase. The only time an employee's password would contain an uppercase character is if the first character of the employee's last name was an extended character. QBDT does not convert extended characters to lowercase
  • Any non-alpha character is removed from the last name (no dashes, spaces, etc.) when building the password.

 

For reference, read this article: Email pay stubs, T4s, and RL-1s from QuickBooks Desktop. Please know that it is for QBDT CA users but the steps can be also applied to QBDT US customers. 

 

Your employees can also access their pay stubs and W-2s through the web. To do so, you'll have to send them an invite to create their QuickBooks Workforce account.

This is incorrect. I have the latest release of Enterprise 23.0 and US QuickBooks uses the last four digits of the SSN, as evidenced by the message it still puts up, as it always has. I also checked the latest releases of Enterprise 20.0, 21.0, and 22.0. They all still use the last four digits of the SSN:

Why do I know this when you don't?  Maybe if you used QuickBooks and tried it, then you wouldn't offer bad advise?  I know it seems like a lot to ask, but it's really not.

QuickBooks automatically generates a password for each employee and email. Take note of the passwords so you can give them to the recipients

When I enter low case employee first 3 letters of last name and dob 00000000 format it is not working as the password to access the paystubs I emailed them in Quickbooks?  I have 2023 version.  Thx

In QBDT, we can send each pay stub as a password-protected PDF to your employees' email addresses. Suppose the employee’s last name is shorter than four characters. In that case, the program will use the whole last name with no additional characters added, plus the last four digits of the SSN.

 

For example: 

 

Name: John Kid                       

SSN: 012-34-5678                     

Pay Stub Password: kid5678

 

Please note that this is system-generated information and can't be disabled due to employee privacy issues. You can check out this article to learn more about this process: Email pay stubs from QuickBooks Desktop.

 

Furthermore, you can check out these troubleshooting steps in case the issue persists:

 

  • Check employee name setup for non-alpha characters or spaces.
  • Attempt this process with a different employee and see if you get the same results.
  • Resubmit the pay stub.
  • If all else fails, delete and recreate the paycheck and attempt again.

Thanks for joining this thread, ReggieFoherty. I'm here to provide information regarding accessing or checking your pay stub.

 

In QuickBooks Desktop (QBDT), accessing your paystub depends on two things. If you're an employee, your employer must invite you, and permit you to view your paystub. On the other hand, you can view your paystub by going to the Paycheck List if you're an employer. 

 

Here's how: 

 

  1. Go to the Employees menu.
  2. Choose Payroll Center
  3. Find the Recent Payrolls section, then click the Amount you want to view under the Net Pay column. 
  4. Paycheck Detail report will pop out for you to review necessary information, such as viewing your employee's information. Once done, you can close the report. 
  5.  Click the Transactions tab right beside the Payroll tab. 
  6. Double-click the name of your employee. 
  7. Within your Paycheck-Checking window, press the Paycheck Detail option. 
  8. Review Paycheck window will appear. You can now review the Paycheck information of your employee. 
  9. If you make some changes, click the OK button.
