We have been using QuickBooks Online (QBO) for years. We've been using QuickBooks Time (TSheets) that I'll refer to as QBT since 2019. In October 2021 we started using QBO payroll.
*One employee is somehow listed twice in QuickBooks Time. One account was showing not used for over a year so I re-invited her (on the dormant user) to the QBT hoping that it would merge the two. It hasn't.
*Her QBT time sheet hours do not show in QBO payroll so I have to manually add hours.
*In Payroll, she has PTO time available to take but when she logs into QBT to request a day off, it shows a zero balance because it's using the wrong QBT account and can't choose or merge tot he proper one. I don't know how to fix this because you can't go into QBT and just delete a user because they're "employees". *Also, annoying, but per corporate, we have to have a corporate user on the QBO account who also shows in QBT as a user but isn't an employee or a user. Is there a way to export users and edit the file and import them back once corrected?
I need to get this employee to one file in QBT.
Thanks for coming by, @Rebekah1972.
I'll share the steps on how you can archive the dormant employee account. You can archive an employee in QuickBooks Time. Let me guide you how.
To archive an employee:
By archiving, you'll have one active employee account that syncs with QuickBooks Online. Refer to this article for details: Add and manage team members in QuickBooks Time.
About the corporate user, currently, our role options in QuickBooks Time are Administrator, Worker, and Payroll Manager. If you'd like to change a user's role or set up a custom user, see Grant permissions to a team member.
In case you need further assistance with the steps, you can contact our QuickBooks Time Support so they can assist you further.
Don't hesitate to reach out to me again in this thread if you have additional questions about archiving employees or anything else. I'm happy to help. Take care and have a good one.
Archiving is not an option for either of her my team profiles.
I appreciate you for providing a screenshot and for going through the steps shared by my colleague above, @Rebekah1972.
Allow me to chime in and impart additional steps to get around this issue. I suggest unlinking your QuickBooks (QB) Time to your QuickBooks Online (QBO) account. Then archive your employee from QB Time. I'll show you how.
If this is not the case, I propose contacting our QB Time support team. This way, they can securely look into your account and investigate why you're unable to archive your employee. Ensure to check their support hours to know when agents are available.
Once everything is all set, you might want to check out this link on how to let your team automatically enter their hours: Enter your hours in QuickBooks Time without clocking in.
I'll be around if you need more help managing your hours in QB Time or in QBO. Keep me in the loop by leaving a reply in this thread. Have a good one and keep safe!
Thank you for the follow up however this does not work either.
I believe since we have the payroll premium "package" it is a bit more complicated.
When I go to "my apps" QBTime" is not listed but there is a notice at the top telling me to go to Time to launch the app and there is no way I see to disconnect.
I even "terminated" her and only one profile in QBT went away. One is still there (the one we don't want) and I can't delete/archive it.
I admire you trying the troubleshooting steps in this thread, @Rebekah1972.
I appreciate you for trying the workaround provided by my peer above. Since the steps shared don't work for you, I highly recommend giving our QuickBooks Time Support Team a call. They can investigate this issue and provide additional troubleshooting steps.
Just click this link for the contact options, you want to use on contacting them: Contact QuickBooks Time support.
Also, all you need to know about QuickBooks Time can be found in the following link: Time tracking, scheduling, and reporting with QuickBooks Time.

Please let me know how it goes. I'll be around to help if you have any other concerns. Take good care, @Rebekah1972.
Good morning!!
I really wanted to be able to resolve this by steps we've discussed so that in the future, someone would see this thread and be able to utilize it, however, that was not the case :)
I did chat with support, and they were able to merge both the accounts into one. I will not know the outcome, if it works with payroll and PTO until next payroll date. Fingers crossed!
Thank you all for trying to help.
