I only have one printer and I have never had problems with my W2s until this year

This issue should be investigated in a secure location as early as possible. This way, you and other customers can print the W2 successfully. With this, I suggest contacting our Technical Support Team. They can investigate this problem further and, if necessary, interact with our engineering team. 

 

Here's how: 

  1. Go to this link to contact support outside the product: QBDT Support
  2. Choose your product in the drop-down.
  3. n and click Continue.
  4. Pick your QuickBooks edition and type your concern in the field. 
  5. Select the appropriate option.

I had the exact same issue. If you don't have another printer, my only suggestions are to either just print on blank paper (the IRS accepts this version), or to save as a PDF file and go try somewhere else with a printer. It is very frustrating.

I Changed my Default PDF.  Viewer to Google Chrome and it works now hope this helps.

This has been so frustrating. I feel some one owes me a refund on how many times I have been to Office Depot and bought forms. There has to be an internal issue with Windows 10 - Quickbooks - Forms. 

 

Something so simple should not be this difficult. I have printed forms for 15 years with no problems until this year. 

 

My "COPY A" Printed fine. Copy B will not align. I will do the "test copy" it matches up after a few adjustments. Then I go to print the W-2's after I am happy with the alignment and the top employee on the form is perfectly aligned, however the bottom employee's social security number is at the bottom of the first employees tax forms making both documents void. I can't even use the top form, because the bottom form is overlapping employee two. 

I tried calling and the issue was not resolved. There was an "accidental" disconnection after my issue was NOT resolved.

I called in. The tech took over my computer. Made the same adjustments that I did and it did not work. He advised me to contact the manufacturer of my printer. What a joke

I was so frustrated that i just printed on blank piece of paper. I’m done with it. I’ve NEVER had a problem printing tax documents until this year. I guarantee it has something to do with QB and Microsoft compatibility after the updates.

I had this problem starting last year (2023) printing our 2022 W2's and 1099's!  I did everything I could to align & had the same problem as everyone else......top will align, and bottom way off!  I tried calling quickbooks many times and no one could help me!!  Now I can't even get through to have someone call me back!  Prior to January 2023, I have been doing these forms for years & never had a problem!

I was left to hand write all the forms!!!  Npw, I will be having to print 2023's soon!!

This isn't what we want you to experience, @hillcrest165. I can see how hard you tried here and I understand your sentiments with the support. No worries, I'll be sure to pass along your experience here on our end so we can better the customer support we provide to you and other users. 

 

Allow me to assist you further and offer these troubleshooting steps that we can perform so your W2 and 1099 forms will align accordingly. 

 

First off, if your forms are purchased from Intuit, we can perform some carse alignment adjustments. Here's how:

 

Note: Make sure that your printer is on and connected to your computer before performing these steps.

 

  1. Go to File then select Printer Setup.
  2. Select the form in the Form name dropdown then hit Continuos (Perforated Edge) from the Printer type dropdown.
  3. Choose Align then select a template to use. Hit OK.
  4. Select Coarse then OK to print the sample form.
  5.  Examine the line that QuickBooks has printed across the center of the sample. Take note of the number that is nearest to the arrow's tip. Input this number into the Pointer Line Position field, and then click on OK. QuickBooks may proceed to print another sample. 
  6. Take note of the printer alignment position on the test form for future reference.

Thanks for the tip @Fletch44 , I took your advice and switched to Chrome for pdf viewing in windows system settings> choose a default app for file types. Once you do this, your print tests from QB will open in chrome. When printing from chrome, you'll get a chrome print dialog box. What worked for me was to click >more settings>scale>custom. After messing around, I settled on 102% scale, then adjusted alignment in QB up 8 points. That printed everything in the bounds of the boxes on printed W-2s. 

 

Based on what's in this string of posts, different printers must parse the pdfs differently. I'm using a Brother inkjet.

Same problem and also when I try to submit my "survey response" about how this is working out that gets an error too.  Seems everything to do with W2's this year gets an error.  I would like to align my forms and am having the exact same problem as everyone else

I have the same issue: the first employee on the page is aligned, the second employee on each page is not and is unreadable because the printed information is on top of the preprinted text on the form.  It seems like you can only adjust the whole form: I need a line by line adjustment

Quickbooks was of no help and for years I have used the same forms. Now this year they do not align just like you said. Did you get this resolved?

Please see my comment above. I had the same issue, but was able to solve it by printing the pdfs from the Chrome browser. It's not exactly fun, but you can use a combination of custom scale in the print dialog, and the vertical and horizontal alignment adjustments within quickbooks. It took me about 8-10 tests to decide on a final adjustment, but all entries were within the W-2 boxes. Maybe this would work for you, too.

Hello!  I was having this exact same problem and I got it fixed.  Make sure you are using the most current version of Quickbooks and also make sure you are using ADOBE to print.  I wasn't using ADOBE before, but after our big QB update, it didn't want to align at all! Switching to ADOBE fixed the problem.  Hope this helps!
