I have two companines! Yes two not one! That have major errors with the payroll setup. A QB expert suggested we wait on these two companies to start our payroll until the 3rd quarter so we did. We had been using desktop payroll for years without any problems. She said it would make inputting the payroll data easier. One company was smaller so the information was merged and the other company we tried to merge but the information was so large that the data didn't go over correctly and QB kept telling us their team was working on it so we decided to just start from scartch and use the desktop file for history purchases and the new QBO as a fresh start. I inputed all of the employess from Jan-Sept 30. in company 1. The conversation with the QB person was we would handle all of the 3Q filing and payments since we were waiting to start paying employees in October.
Once the setup was complete I noticed that company 1 needed some adjusted with taxes on a couple of employees because a couple of them worked in different states. I asked if I could make those corrections because I added those work locations. They told me no that QB would have to do that. In the mean time they filed a 941 3Q and State 3Q for Company for Jan - Sep. not just the 3Q Any tax person can imagine what a night mare this is. Now it is showing we owe the IRS almost 3 times of what we owe and looks like we didn't pay but we did.
Company 2 that was merged. When It was merged and then we decided to wait 2 months to actually do payroll they didn't go back in and refresh it so 8 checks for all of the employees were missing. Everything else was there. When employees 1st got there checks in October their YTD showed a large amount. Again they said I needed to input the data on a template and they would input. So I did. I put 8 weeks of paychecks and sent it in. They only put 7 weeks in their system and then delete all of the January - July history. Then to top it off they filed the IRS 941 3Q and our State 3Q based on just the 7 weeks they input. So that one is way under!
I am so frustrated! I have been trying to get these 2 companies updated and corrected since October 4. Yesterday I get an email and a phone from a QBO tax person that berates me and talks down to me that on Company 2 I initially didn't set it up correctly. Sends me a "how to". I explained to her I have sent in all of the documents and she said to me well I just got the file so it's new to me!
How do I exculate this to someone who knows how to fix it or how can I exculate it so I can fix it myself!!! This is crazy. My time is valuable. This should have not taken this long!!!!

That would be fine but there is so much at this point! I have worked in QB for many years and I wish I could make these corrections myself since I am a pro advisor.
My main goal in both companies is to get the payroll information straigthened out so the reporting is correct so the reports to the IRS can be corrected and we are very close to the year end so I am worried about W2's. We don't have much time. Seems like something simple (an easy correction) then a whole years worth gets deleted. Then I get a QBO person talking to me like I did it. Or I am having to explain to QBO tax team how to input tax corrections for another state. When I have to educate the team that supposed to be fixing the problem that does make me a little nervous on how well the outcome will be.
I just want it done and done quickly so I can verify the numbers. I have asked the no reports be sent to the IRS and State departs until my CPA can sign off on them since the 3Q was so drastically wrong.
Thank you for your quick resonse.
I NEED TO FIND A SOLUTION! I have a person that is helping with Company 1 that is really trying but the person that is supposed to be helping with Company 2 is not helping! When I run a P&L for that company the information is in there for the payroll from Jan 1 -July 27, 2024. But when you run a Payroll summary or Paycheck detail the information is not there for that time period. Does that information not come over when you do a merge from desktop to Online when it comes to Payroll and Payroll history?

First : Thank you for such a quick response
Second: This company did pay and use a QuickBooks Online person to help merge from desktop in Company 2. They even paid extra to make the merge for payroll easier. The QBO person is the one who suggested waiting until the 3rd quarter to start payroll in QBO online from desktop. They were the one who moved the information in July and didn't tell the company you will have missing information and will need to merge again. Obvisouly something wasn't done correctly. Payroll information is in the P&L but did not come over for the Payroll history. In Company 1 they used a QBO team and it was such a mess because of problems QB was having QB and the Company ! decided it was best to start from scratch.
Third: I am an accountant, I have almost 40 years of experience. I am also a pro-advisor. I have alot of experience in QuickBooks Desktop and Online. Do you know that if you ask your Payroll and Tax EXPERTS in QBO if they are familar with QBD they will tell you no they are not. I do find that odd!!! This is why the company had to ask for my help in this because QB was not doing their job. Even though they had paid over $12,000 for the online subscription and all of its bells and whitsles and had to pay for the renewal in desktop (to keep the history) a couple of weeks ago in desktop for over $8,000 because of all of the problems QB has caused.
Lastely: I am sure most people you can give a list to and tell them to contact QB help that they caused the problem. But if you had read my previous post you would have seen I have done that and these problems were caused mostly by QB. I have asked for help and I am not getting the response I feel I should. QBO filed an incorrect 941 IRS 3 Quarter report and State Report. We had already filed Quarters 1 and 2, QBO filed the Quarter 3 (which they were told not to that we would be doing that in desktop). When they filed Q3 they filed it not just for Q3 but for January - September 30. If you know anything about accounting you know that is a HUGE problem!!!! Now it shows this company owes the IRS (that they didn't make their 941 payments for Q1 & Q2 which they did) we are talking hundreds of thousands of dollars!!!!
This is a HUGE mistake on QB!!!! Now I am at the mercy of QB to fix the problem but you can't call them, you can't email them.... You just hope they are working on the backside to fix the problem!!!!
Do you see my frustration!!! This not only happened on 1 company but 2 companies!!!!
I will say as of yesterday Company 1 has been fixed and we are sending in the 941X and amended state tax returns. It has been almost a week and I have not heard back from the Company 2 QB team member!
