Quickbooks sync is deleting all my service items and time cards are no syncing correctly

Hello,

when I sync all my service items are archived, i don't know what is causing this. Another issue that I have is that our employees were vendors before as we use ADP and we were importing their timecards as vendor. Now we decided to create employees in Quickbooks and we added the e at the end of their last name to make their profiles different from the vendor profile. The sync is not working now, we can't get the timecards imported and everything is a problem now. we have spent hours, days with the Quickbooks time and Quickbooks Desktop trying to see what is happening but nothing fix these issues. can please someone help me. we are at that point that are considering move to a different time clock software. We have been trying everything with not luck. Also if we have to move to a different timeclock software can someone recommend a good one that have a similar dynamic as QB time?

Quickbooks sync is deleting all my service items and time cards are no syncing correctly

Hello there, MariaX.

This isn’t the kind of experience I want for you when integrating your QuickBooks Desktop (QBDT) to QuickBooks Time. Let’s make sure that your Integration Preferences are set up properly to sync all service items and time cards.

Before performing the troubleshooting steps, log in to QBDT as the administrator and in a single-user mode for a seamless process. Once done, follow the steps below to check your settings.

Here’s how:

  1. In QuickBooks Time, click the QuickBooks drop-down in the top right and choose Preferences.
  2. Then select the Payroll Item Mapping Tool.
  3. In the right corner of the Payroll Item Mapping Tool, head to the Gear icon to open the settings.
  4. Click the Allow overrides by box, and pick Customer, Service Item, or Class.
  5. On the Customer Map, Service Item Map, or Class Map tab, press the Plus icon (+) Add Overrides.
  6. Select none under Select Customer/Service Item/Class (whichever displays).
  7. Choose a Customer, Service Item, or Class and tap Save.
  8. Under each hour type column, pick one payroll item.
Note: If you use the Pay Rate Engine for advanced overtime, each overtime setting and its rules will display.
  9. Perform the same process until each Customer, Service Item, or Class is mapped appropriately.

Additions and changes are saved automatically. Next, close the window when the mapping is complete.

Check the following guide for more in-depth information about this process: Map QuickBooks payroll items to QuickBooks Time.

Additionally, the links below will guide you on how to integrate QuickBooks Time and QuickBooks Desktop and frequently asked questions about the programs.

I appreciate you for getting back to us, @MariaX.

Allow me to chime in and share with you additional insights about integrating your QuickBooks Desktop (QBDT) to QuickBooks (QB) Time.

Yes, you got it correctly. You'll need to map your payroll items in QB Time and assign the appropriate item type. Each of your employee must have at least one item mapped before it can be exported to QBDT.

You can refer to this article for more details: Setup and use QuickBooks Desktop for Windows and QuickBooks Time integration.

Once you're all set, feel free to utilize this resource for guidance. This contains all the details you need to about the syncing your QBDT to QB Time: QuickBooks Time and QuickBooks Desktop Integration FAQs.

Please don't hesitate to let me know in your reply if you have other follow-up question about mapping your items in QB Time. I'll be here ready to assist you anytime. Have a good one!

Thank you. yes I've mapped all employees with payroll items, but her suggestion was to map the services items as well. Do I have to map both? service items and employees? please see her answer.

thanks

Hey MariaX,

Thanks for reaching back out! There is no need to set up your service item. I was able to look into your account and I do see service items available at the moment. Are you still experiencing issues with service items showing up?

As far as exporting time, everything looks right but I can see that the timesheets aren't going over. Let's go ahead and try exporting from the Approvals report to see if that makes a difference and this will certainly aid in troubleshooting further.

To do so:

  1. Open Approvals in the left navigation.
  2. Select Export Approved Time.

From there, check the Sync Log by opening the QuickBooks menu at the top of the app and selecting View Sync Log. We'd love to hear if you see any errors here and then tackle that situation. Talk to you soon!

Thanks for sharing that. Have you tried connecting through the Web Connector for QuickBooks Desktop?.  If not, let's try syncing through there.

  1. Open QuickBooks Desktop and the Web Connector on the same computer.
  2. Every time you run the Web Connector to sync QBD and QuickBooks Time, make sure you are logged in to QBD as admin and in single-user mode. We do not recommend using the "Auto-Run" feature in the Web Connector. If it is absolutely necessary, then set the frequency for 60 minutes or greater.
  3. In QBDT, select File and then Update Web Services.
  4. The Web Connector opens.
  5. Select the appropriate company file, and choose Update Selected

For reference, this article is very resourceful. Let me know how it goes and if you were able to get through. I will be around!

yes that  is how we connect. with the Web connector. probably that is the issue so i would like to try the other way. our error is QWC 1042 timed out, so i guess the sync gets broken at some pointe. bc it is importing new jobs, services items, new employees, it is not exporting the timecards to QBD
