Removing old Payroll Liabilities from platform

Thanks for clarifying, @GK201. Let me chime in and help you clear out paid liabilities that are showing up as overdue in QuickBooks Desktop (QBDT).

In QBDT Payroll, the Pay Liabilities window allows you to set up and pay your liabilities, such as health insurance or payroll taxes. Even after you have paid them, they may occasionally still show as past due or red for a variety of reasons.

If liabilities were paid, but never entered in QBDT. Here's how to fix them:

  • You may enter the payment in the Pay Scheduled Liabilities window.
  • Or enter it using the Enter Prior Payments option in YTD Adjustment:
  1. Go to the Help menu and select About QuickBooks. Press Ctrl + Alt + Y.
  2. Click Next
  3. Choose the date range and select Next until you see the Create Payment button.
  4. Click the dropdown arrow under the Item name and choose the item you need to create a prior payment.
  5. Enter the amount. Verify the dates and update as necessary. To enter another prior payment, click Next Payment. Otherwise, select Done

For other scenarios and their corresponding fixes, please see this article: Fix overdue or red scheduled liabilities in QuickBooks Desktop.

Additionally, generate reports in QBDT so you can have a closer glance at your company's finances, including payroll taxes and liabilities.

Removing old Payroll Liabilities from platform

I have made adjustments to Payroll Liabilites using your ctrl + alt +y.  The adjustments were saved by only affecting the Liability accounts but not banking (the middle option).  Now my question is how do I remove the liabilities from my balance sheet?

Thanks for joining us here, Barry40. I'm here to assist you with your payroll-related concern.

Choosing the middle option, "Affect liability accounts but not the bank account," will eliminate the liabilities from your Balance Sheet report.

If the amounts are still showing up, let's review the adjustment you made and verify the following:

  • Ensure you've selected the appropriate payroll tax items that were used in the prior payment entry.
  • Double-check that the dates in the Payment Date and For Period Ending fields are accurate.

If any details appear incorrect, please make the necessary modifications. Once completed, review the Balance Sheet report again to confirm that the payroll liability has been zeroed out.

Additionally, I'd like to provide some helpful resources for further guidance and assistance when handling payroll liabilities:

Removing old Payroll Liabilities from platform

Hi there - I'm also having problems with this, but as often seems to happen, I appear to be running a different version of Quickbooks online, as your help menu appears to be different from mine.

When I press the help button I don't have the option "About Quickbooks"

When I press CTRL + ALT + Y nothing happens

Can you tell me how to access the YTD amounts you refer to, please?
