Let's adjust the beginning balance of your accruals to zero.

 

Here's how:

 

  1. Open your QuickBooks Desktop company file.
  2. Go to the Employees menu, then select Employee Center.
  3. Choose the employee you incorrectly enter the accrual date.
  4. In the Edit Employee window, go to the Payroll Info tab.
  5. Click the Sick/Vacation button.
  6. Correct the information in the Hours available as of [date] fields in the Vacation section. Then, select OK.

When I enter 0.03333 in the accrued per hour paid, QuickBooks rounds it to 0:02:00.

How do I stop QuickBooks from changing the time? 

 

I need the setup for 1 hour sick time accrued for every 30 hours worked.

I'll share information on how QuickBooks Desktop displays the time you entered. 

 

The changing of time format when entering them on paychecks or setting up sick and vacation time balances has something to do with your preferences. Please know that QBDT has two time formats. These are:

 

  • Decimal: QuickBooks interprets time entries as decimal fractions. 
  • Minutes: QuickBooks interprets time entries as hours and minutes. 

 

Since the 0.03333 in the accrued per hour paid rounds to 0:02:00 you can modify the time format into Decimal. However, it only allows you to enter a maximum of two decimal places. Here's how: 

 

  1. From the Edit menu, select Preferences.
  2. Click the General view. 
  3. Select the Company Preferences tab.
  4. Go to the Time Format section, select either Decimal (10.20), or Minutes (10:12).
  5. Tick OK.

If the pay period is half in December and half in January at what point does QB update the sick pay? Do we have to wait until the next pay period?

Hello there, T_D-33. I'm here to answer your inquiry about sick pay, 

 

In QuickBooks Desktop, sick pay is adjusted based on the pay period. If an employee takes the sick pay across December and January, QuickBooks will update the pay in the corresponding paychecks. Thus, there's no need to wait until the next pay period.

I have a client using QB Enterprise.  She has a number of employees who already have sick time or vacation time accrual set up, and those have more than 2 decimal places.  However, when she goes to enter anyone new, she gets a message that the field is limited to only 2 decimal places.  We have a new law in Minnesota that requires 1 hour for every 30 hours worked, which technically should be .03333, not .03.  Is there no way to change this?  Thanks, Tracey

Hello there, Tracey. I'll ensure your client's vacation and sick time accrual will be set up accordingly in QuickBooks Desktop (QBDT).

 

When setting up sick and vacation accrual, QuickBooks will convert your decimal (0.00) to minutes (0:00). If you choose the Every hour on paycheck option as the Accrual period, you can enter five (5) decimal places in the Hours accrued at the beginning of the year field. However, in the Maximum number of hours to accrue section, you can only input two decimal places regardless of the Accrual period chosen.

Thank you!  That was the problem.  She had selected Every Paycheck instead of Every Hour On Paycheck.  Appreciate the quick response

I have it as on every hour on paycheck as 0:02:00 and it gives me same result? Is that correct?

 

second question. How do u stop sick pay accrual on sick paid time. Like I put in 8 hours of sick pay to an employee and it gives them time on accurate still and they accrue sick pay on those hours too.

I'll share additional details on sick pay in QuickBooks Desktop. 

 

The time format in QuickBooks Desktop is typically represented in hours and minutes (hh: mm). Based on the format you've mentioned 0:02:00 indicates 2 hours. If you intend to set the paycheck frequency to every hour, you can enter it as "01:00" or "60:00" to represent a one-hour interval between paychecks. This will ensure that paychecks are generated every hour based on the specified frequency.

 

Moving on to your second question about stopping sick pay accrual on sick paid time or if you don't want to accrue the sick pay accrual on sick paid time, you can click the Do not accrue sick/vacation box on the employee's paycheck.
