Tax Payments not recording

Last week I was out of town and working remote from my laptop. I had a current copy of the company restored to the laptop before I ever began working. I processed payroll for the week and made my federal tax payments. I also backed the company file up. When I returned to the office and and restored the backup to my main desktop computer, the tax payments were not showing paid. I checked the bank account and the tax payment was made but when restored they were showing due again.

Tax Payments not recording

I've come to help ensure payroll tax payments are accurately recorded when restoring your data in your desktop device, Harbinse.

Since payroll tax payments were made from the other computer, these payments are posted already in your banking account. We can manually record the taxes paid from your main desktop to ensure accuracy on your payroll tax data.

To do this, we can enter historical tax payments outside the Payroll Setup window:

  1. From the Help menu, choose About QuickBooks.
  2. Press Ctrl + Alt + Y or Ctrl + Shift + Y to open the Setup YTD Amounts window.
  3. Select Next until you reach the Enter Prior Payments section.
  4. In the Enter Prior Payments window, select Create Payment to enter all prior payroll tax and non-tax payroll liability payments you have made during the current or previous years.
  5. Enter the Payment Date and For Period Ending date accordingly (in many cases these dates will be the same).
  6. In the Taxes and Liabilities field, choose the payroll tax item that you've already paid and want to record in QuickBooks Desktop. Then, enter the amount.
  7. Select the Accounts Affected... button and ensure to select Affect liability accounts but not the bank account option. This option will cause the prior payment to not show up in the bank register.
  8. Once done, you may continue this process until you've completed all payments. Then, click Done and Finish to close the window.

You can refer to this article for more detailed insights: Enter historical tax payments in Desktop payroll.

Furthermore, I've included this guide so you can keep track of your payroll tax payments and forms made in your payroll account: View your previously filed tax forms and payments.

We'll always be available in this thread if you require additional assistance managing your payroll data, Harbinse. Feel free to let us know in the comments below. Keep safe.

Cntrl-Alt-Y nor Cntrl-Shift-Y doesn't yield or open anything in Quickbooks. I'm running Quickbooks Premier Plus 2022.

Let's record your tax payments seamlessly, @Harbinse.

You'll want to make sure you are on the About QuickBooks page before pressing the Ctrl + Alt + Y or Ctrl + Shift + Y keys. See the screenshot below:

From there, follow the steps shared by my peer above to proceed with recording your federal tax payments. Also, please remember to select the Do not affect accounts from the Accounts Affected section because the tax payments already showed up in your bank register.
