If a company does not utilize benefits it should not be required to put in a date of birth on every employee to cut a paycheck. Also, the Hire Date field should allow you to place a date prior to the current date as bookkeepers may be entering an employee that started at the start of a pay period and they do not put them in the system until the day that they are actually paying them. Date fields should have the ability for back dating. You cannot tie a bookkeepers hands in the most versatile, user friendly software or you will lose many small businesses. You must make the software for the way it is used and can be used. Quit assuming things.
Intuit, change this! And don't take 6 years like it took you to change box 12a of the W2 for tipped employees. I complained about that every year and you took forever before taking off the error message when electronically filing W2s. Although, it would be nice if box 12a calculated but I know how to run the report and override it...seems like the system if it can track it and put it on a report it could put it in box 12 with the A code too!!!

Yes. what you describe is always the case: 1) An employee is hired. 2) At some point after they are hired, they are added to QuickBooks. Never before. Always after. Sometimes, maybe, it might be the same day they are hired. Mostly not.
Are you sure you can't enter a hire date in the past? If so, that is so brain-dead I can't believe two people at Intuit got together and decided that was a good idea.
Many recent changes by Intuit are so very lame it is hard to even put it into words.
I have already put the "suggestion" in to Intuit to remove the date of birth requirement for all employees. I just noticed the Hire Date field is now greyed out and will not allow a change. What a terrible update this has been for Intuit! PLEASE unroll this last "update". It was horrible. I think Intuit is using AI for all responses, as they are seldom helpful.

Yes, it's almost idiotic, this last update. I've no idea what Intuit could have been thinking.
If the hire date is wrong, it needs to be fixed. So, by using a teeny- tiny bit of logic and rubbing two brain cells together, we can figure out that the hire date needs to be editable. Why can't you figure that out, Intuit?
Agreed! Now I am going to have to remember to change that date for new hires when I run the report, FROM QUICKBOOKS, to submit to our client's 401k provider...since that report also uses the Hire Date field, which is now always going to be wrong. I never hear from our clients about new employees on the exact day they are hired. We NEED to be able to edit that field. C'mon Intuit...roll back the update.
The orange exclamation on all the employees is just annoying. Really wish there was a comparable program out there to give Intuit some competition.
Ok...just found where they moved the hire date...it is now on the required info tab...that field can be edited and it carries to the employment info tab. Hallelujah!
Now I still have an issue with the new requirement of a birth date...that is not required for most of our clients that do not, and will not, be utilizing any benefits packages due to their size. PLEASE remove this requirement. I have already submitted product suggestions, so do not reply with this suggestion, Intuit, just listen to your community!
As of this morning, it appears the date of birth requirement has been rolled back...I think the update was rolled back, as I no longer have those annoying red exclamation marks and the employee info tabs are back to the way it used to look. THANK YOU QB FOR LISTENING! Hoping it sticks!
Where can I change that? I cannot move forward with payroll until I get the DOB fixed. QB has the DOB as mm/17/yyyy vs what I put in as 11/17/1955. There is an issue there so I need to turn that off please.

The Date Of Birth is required in QuickBooks when adding an employee. That said, turning this off isn't feasible. You'll want to ensure you have the correct date format to avoid issues.
If you're still unable to change it, consider contacting our QuickBooks Customer Care Support. They have tools to access your account and assist you further in changing the DOB.

It's very feasible. It wasn't required before, for 25 years, and then Intuit changed it. Intuit can change it back. It's super-simple.
Entering the DOB into QuickBooks is not required to pay an employee. The only data that should be required are data needed to calculate a paycheck. Full stop.
We need to go back to not requiring Date of Birth for employee's - it is not required on W2 or payroll forms - so this should not be a required option. I also process direct deposit for a client that does their own payroll but we use the direct deposit feature of Quickbooks so this is another example of why this needs turned off, otherwise we have to put in dummy dates to move past it. So I agree - THIS FEATURE NEEDS NOT BE REQUIRED!
Are you sure? It still shows the warning sign for all employees missing the DOB. Same for us and many others.
AS of this AM, the birthdate is still required. This needs to be changed to a preference that can be turned off. Till then I will enter the same 01-01-01 date for them all. As a CPA ruled by state regs, I can not give out this information without client consent. With this information combined with their SS# and address, ID theft is a serious problem. Are they are gathering enough information to contact all employees outside of our knowledge and offer services we may be providing? Why else would this be a required field?
This payroll update is unworkable if you have to help a client before an employee joins the company. You can not set up an employee without having ALL the required information. The employee usually doesn't provide much of the information until his or her start date. No way to get the employee entered and synched to Workforce Time now so they can learn to use that app. This update was POORLY thought out, unless it is designed to remove experienced accountants from helping their clients. Please remember who your colleagues are when adding or REMOVING functionality.
Well, when I posted my comment, I was working with my 2022 Quickbooks desktop clients when I noticed it went back to the old version where the DOB is not required. Now I just looked at both a 2021 and 2023 QBDT client and see that the DOB is still required. What a mess! I had assumed they were pushing back all the updates, but I am guessing that is not going to be the case. Back to flooding Intuit with my "suggestion" and "bug fix". They did acknowledge that unless there are lots of requests, most likely will not consider our suggestions.
QBO is even more unforgiving.
@TigerCPA There is a workaround, you can remove the DOB after you added the employee. After you removed it, there's a pop-up message reminding you to put the DOB, but you can choose "maybe later" and get out there. The only downside is there will be a yellow "!" sign next to all employees without the DOB.
In the state of Texas, if you ask for a date of birth, you may be subject to an Age Discrimination law suit. This is not a legal requirement and QB, Intuit needs to fix this!
It is unlikely intuit will listen to anything we say. There were huge issues with 2021 and they were never fixed. This DOB requirement is solely intuit, it is not a legal requirement and in fact, when you ask an employee his date of birth you are opening up yourself for age discrimination. Period.
That is my suspicion - phishing!!!
Chances are Intuit is not going fix this until someone sues them for misleading the business owner to asking employee's DOB.
Anybody know a good lawyer that does class action lawsuits? Since we are the ones using it and are being required to provide illegal information, are we the injured parties? If I get sued or lose my license, can I in turn sue intuit? If so, just post the attorney's contact info. It wouldn't be hard to spread "the word".
Well, they didn't fix the problem, but they did change their terms of service to put all the responsibility on us. It's agree or use something else. They have included the right to contact any employees in our systems for any reason. Again, take it or leave it. Working on that now.

This is not necessary for processing payroll, no government reports require this information.
Intuit needs to turn this notification off immediately.
