Unable to e-file payroll reports in Accountant's Copy

I am an Accountant, using the Accountant's version of QB Enterprise 20.0.  My client has sent me an Accountant's copy to prepare and file the quarterly payroll tax reports.  I am able to generate the payroll tax returns, save a draft and only print a paper copy.  The option to e-file is greyed out.  I have read many threads from QB Support that clearly state that e-filing payroll tax returns IS AN AVAILABLE option when working in an Accountant's Copy.

Anyone have any suggestions why this is happening?  It also happened in Q1, and I had to send the changes back to the client and then do a remote-screen share to get the reports filed from the client's desktop.  This is absolutely ridiculous and a waste of time.  HELP!

I have already tried to run a payroll update, but it does nothing. No update, or even a message saying that installing payroll updates is not allowed in an accountant's copy.

Unable to e-file payroll reports in Accountant's Copy

Thanks for posting in the Community, HCoKP.

Ensure that you've selected the correct form 941 in your Accountant's version of QuickBooks Desktop (QBDT), whether it's a regular or for Reporting Agents form.

If it's already the correct one, let's make sure that form 941 is set to E-file. Here's how to check:

  1. In QBDT, go to the Employees menu at the top to get to the Payroll Center.
  2. Proceed to the File Forms tab.
  3. In the Other Activities section at the bottom, click Manage Filing Methods.
  4. If it's already set, toggle it to Manual, then E-file again.

Once done, try to E-file the form again to double-check.

I'll add these articles for more information about managing and filing forms in the Accountant's version of QBDT:

Reach out to me in the comment section below if you have some additional questions or concerns about the process. I'll be more than willing to help. Have a great day!

Same issue.  It's crazy you can't send payroll reports for clients through the AC copy!  Why are we PA's then?

Unable to e-file payroll reports in Accountant's Copy

Hi there, @dso0216.

I appreciate you joining this conversation. I'm here to help make sure you can send payroll reports in QuickBooks Desktop (QBDT).

Although there are transaction restrictions for processing payroll, you can still process payroll tax forms in an Accountant's Copy (AC). All monthly, quarterly, and annual tax forms available in a regular QBDT company file (.qbw) are also available in the AC.

If you choose to e-file, verify the paid-through dates. If the paid-through periods cross the dividing date originally created, you will receive an error and be unable to complete the transaction.

You can refer to this article for more information about the payroll-related restrictions and processing payroll forms when working in an Accountant's Copy: Payroll-related restrictions in an Accountant's Copy.

If you already followed the steps above, and the issue persists, I highly suggest contacting our Payroll Support team. They have tools such as screen-sharing (remote access) that can pull up your account in a secure environment and help you with the process.

Here's how to reach them:

  1. Open QBDT.
  2. Go to the Help menu at the top, then select QuickBooks Desktop Help.
  3. Click Contact Us.
  4. Give a brief description of your issue.
  5. Tick Let's talk, then choose a way to connect.

In case you need it, I'll add these articles again that tackle managing and filing forms in the Accountant's version of QBDT:

Please let me know if you have follow-up questions about e-filing or anything else, and I'll get back to you as quickly as possible. Keep safe and have a good one.

The article you provide in the reference contains all the right steps.  However, if the "filing reports method" is not set-up for e-filing then it can't be changed in the ac copy making the whole process in the article a moot point.

Unable to e-file payroll reports in Accountant's Copy

Thanks for following up with the Community, dso0216.

I can certainly understand how an ability to send payroll reports without being set up for e-filing could be useful and have submitted a suggestion about it as of today.

You can also submit your own feature requests while using QuickBooks.

Here's how:

  1. In your top menu bar, go to Help, Send Feedback Online, then Product Suggestion....
  2. Choose a Type of Feedback and Product Area (optional) from the available drop-down menus.
  3. Enter any suggestions/feedback in your Here is my suggestion: field.
  4. If you'd like, include your name/email in the My name is: (optional) and My e-mail address is: (optional) fields.
  5. Select Send Feedback.

Your feedback's definitely valuable to Intuit. It will be reviewed by our Product Development team and considered in future updates. You can stay up-to-date with the latest information about your product by reviewing Intuit's Product Updates page.

Please don't hesitate to send a reply if there's any questions. Have a lovely day!

I have commented on this issue several times and responded in comments when surveyed and still nothing.  Just proof Intuit doesn't understand what accountants do.  It's a time suck and totally unnecessary.  Intuit chooses not to fix this because, I'm convinced, they hate accountants.
