W-2 not available to view in workforce

I used e-file for W-2 for the first time this January.  I invited the employees to join Workforce so they could view their W-2s.  Most haven't had a problem but one was able to sign up but gets an error message that, "Your W-2 isn't ready yet".  His W-2 was created at the same time as the rest of the employees'.  Another employee is not able to sign up for Workforce; she gets the error message, "Something's not quite right! We can't find your company in our system."  We've tried both her work and personal emails to invite her.

Getting any errors when using or signing up to Workforce so employees could view their W-2s has been reported as an ongoing issue. Our Product engineers are now working to fix this as soon as possible.

 

I suggest contacting our QuickBooks Desktop Support Team, so they can add you to our notification list. This will help our engineers determine the number of affected users. You'll also receive an update through email once this has been resolved.

So I guess the short answer is that I need to print the forms for those employees.  Hmm.  Not all that satisfactory but they need to be able to do their taxes.  Maybe workforce is not the way to go in the future.  That's too bad.

I've reviewed our ongoing/solved investigations and can confirm there's currently no records of subscribers reporting that their employees are receiving error messages stating "Your W-2 isn't ready yet." or "We can't find your company in our system." when trying to sign up for and/or use QuickBooks Workforce.
 

Since your workers are encountering such errors, I'd recommend getting in touch with our Customer Care team directly. They'll be able to pull up the account in a secure environment, conduct further research, and create an investigation ticket if necessary.
 

They can be reached while using QuickBooks.
 

Here's how:

  1. In your top menu bar, go to Help, then QuickBooks Desktop Help.
  2. Click Contact Us.
  3. Enter a brief description of the issue in our Ask a question (or tell us what's wrong) field.
  4. Hit Continue.
  5. Select We’ll contact you for a callback or Message Us to start an instant messaging session.

 

Be sure to review their support hours so you'll know when agents are available.

I called in and you representatives said to leave a comment on here as this is a known issue and the engineering team is still working on it.................

My employees including me are getting the same message. "We don't have this W-2 yet. We're not quite sure what the issue is.  Contact your employer for more info

I can share with you some information about when W-2s will be available in QuickBooks Workforce, @rlthompson.

 

After inviting your employees to QuickBooks Workforce, you can access and print your W-2s by January 31. For more information about viewing W-2 online, check out this article: View and print your W-2s in QuickBooks Workforce.

@MJoy_D  You obviously did not understand what I said.  All employees have been invited.  They are getting the error message.  IT DOES NOT SHOW 2022 w2'S.  It shows 2021, 2020 but not 2022................. WHY?? I'm trying to find out why.  The error message is "We don't have this W-2 yet. We're not quite sure what the issue is.  Contact your employee for more info"

It isn't the kind of impression I'd like you to have. I understand that you still can't view your 2022 W-2.

 

Since you are using workforce, 2022 W-2s will be available by January 31, as mentioned by my colleague above. You can read about how and when your W-2s are filed in this article: Understand the timing for your W-2s.

Thanks for your response.  I understand now and my question has been answered.  W-2's will be available by January 31st.  Needless to say I am frustrated with Quickbooks overall.  Please forgive me if I sounded harsh.

Hi, I am having this same issue, a few employees are getting that same error message, but a few are able to view their W-2. I am personally able to view my W-2 and it is 6 days before the January 31st date mentioned above.

In Workforce, you can see the W2 forms from the years prior to 2022. However, QuickBooks Workforce users can access the 2022 W2 by January 31. You may want to check this article to understand more about the availability of 2022 W-2: View and print your W-2s in QuickBooks Workforce

Looks like this has been going on for a few years. Neither I nor my staff can access W2s through workforce. 

The screen says: We don’t have this W-2 yet. We're not quite sure what the issue is. Contact your employer for more info.  I am the employer and have no idea why it's not working. W2s were completed January 3rd, but I had to send out manually because no one can access.  It has the same message for the last 4 years. If it can't be done, please don't offer it as a service. It just adds more work to answer questions, especially since there doesn't seem to be an answer.

Hi, Teresa. I understand how that could be frustrating not to be able to access W2s through workforce. Know that this isn't the kind of service we want you to have.

 

As I check here on my end, there are no current investigations about this error stating "We don’t have this W-2 yet. We're not quite sure what the issue is. Contact your employer for more info."
 

Since you're encountering such error, I suggest contacting our QuickBooks Desktop Support Team, so they can add you to our notification list. They can also pull up your account securely and further investigate the error. 

 

Here's how to reach out to them:
 

  1. Go to the Help menu, then select QuickBooks Desktop Help.
  2. Click Contact Us.

I have been on phone for almost two hours without any luck.  I do not see a message button....the man on the phone call sent me an email to do this same thing...but again, no message button.  And I cannot stay on phone all day.  Help.  I just need W-2's to upload into Workforce for employees.

Let me share info about contacting support and help you upload your W-2 in Workforce.

 

You can follow the steps below to contact support without looking for the message button. Here's how:

 

  1. From the Help icon, select QuickBooks Desktop Help/Contact Us.
  2. Click Contact Us below.
  3. Enter a brief description of your issue. Click Continue.
  4. Please choose how you want to connect with us. Either Chat with us or Have us call you.

Concerning uploading your W-2 in Worforce, it all depends on what payroll service you have. If you have the QBDT Payroll Assisted, we’ll file your W-2s.  You can print copies for your employees once they’re ready, or have us send them to your employees (fees apply). 

 

However, it's different when you have the Enhanced payroll. Once done filing it, you can print your W-2 forms and send them to your employees by January 31. And to upload it to Workforce, you'll need first to turn on QB Workforce and invite your employees. Here's how:

 

First, you'll need to add and invite your existing employees by adding their email addresses to their profiles. Then you'll set up the invites.

 

  1. Sign in to QuickBooks Desktop as the QuickBooks Administrator.
  2. Select Employees, then Employee Center.
  3. Double-click your first employee you want to invite.
  4. From the Address and Contact tab, add their email address. Select Ok.
  5. Repeat steps 3-4 for all employees you want to invite.
  6. Select Employees, then Manage Payroll Cloud Services. If you don’t see Manage Payroll Cloud Services, update QuickBooks.
  7. From QuickBooks Workforce, turn the status On. Then select Invite Employees.
  8. Sign in with your Intuit Account. This should be the person who owns the QuickBooks Payroll license.
  9. Select the employees to add to Workforce, then add their email addresses.
  10. Select Send Invite. Once sent, you should see Invited in the Status column.

 

After that, invite your new employees. Once done, upload paychecks after each payroll so your employees can access them in QuickBooks Workforce. In January, you’ll also need to upload your W-2s. Thank you for the response.  We do our own payroll and tax forms.  We already have WorkForce in place - have been using it for years.  For some reason, this year, the W-2's will not transfer.  Also, when following the contact support link - it never gives me a chat option...only to call.  Have already been on phone for an extended period of time to never leave my beginning point.  I simply just need my W-2's to go into workforce for 2023.  They are there for prior years - not sure what is different.  The boxes are all checked in the W-2 process to send forms to employees in Workforce.  I am aware they have to be mailed by January 31 - have done that too.  I have employees that would like to also have them digital.  Just need this to work.
