Why is the APPLY button on the Mileage form inactive? I've multiple trips selected.

Thank you for visiting the QuickBooks Community, GAJ. I'm here to explain the mileage feature of QuickBooks Online (QBO).

 

When managing your trips on the Mileage page, you can notice that the Apply button appears grayed out or inactive when selecting multiple trips. This happens when you haven't entered the purpose of the trips. To proceed, make sure to provide the purpose of the selected trips before trying to apply any changes.

 

Here's how:

 

  1. On your Expenses page, go to Mileage.
  2. Select Unreviewed, Business, Personal, or All.
  3. Choose the trips you want to organize, then click the Edit Purpose tab.
  4. A prompt will appear, then enter the purpose of the trips.
  5. Once done, click Save.

I have a different UI. There is no Edit Purpose tab.

If I click on any of the trip records themselves, a Trip Details pops up.

In all my records, Personal is selected.

There is also a Personal Purpose dropdown, which is seeded with Personal, Charity, Medical options.

All of my trip records are set to Medical.

Thanks for going back to this thread, GAJ. Let's clarify things more about mileage features in QuickBooks Online (QBO).

 

The Edit Purpose tab is unavailable since you've mentioned that your records are selected as Personal from the Trip Details. What you can do is use the Apply button if you want to move your selected trips to the Business page, Change vehicle, and the Delete option.

 

I've added a screenshot for your visual reference.

 

 

Once the trips are moved to the Business page, you can now modify the purpose of the trip.

With your help, I was able to figure it out.

I am tracking Personal medical miles, and found that the Potential Deduction total was not listed on the Mileage header.

 

I thought that perhaps I had to “Apply” them. But the Apply button was not active.

The workaround was to select all the transactions, then “Apply” them as a Business.

Then the Potential Deduction total and graph appears.

 

Please consider adding a Business and Personal breakdown summary in the header.

I’m good to go now.

It's great to know you could track your personal medical miles and apply them as a Business type. We see consumer feedback as an opportunity to improve the numerous features of our products. We recommend giving our engineers direct feedback when adding a Business and Personal breakdown summary in the header. They may look into this suggestion and incorporate it into future updates. Here's how:

 

  1. Go to the Gear icon.
  2. Hit Feedback.
  3. Type in your recommendation in the Share your feedback field.
  4. Click Next. Then, follow the on-screen instructions to complete the process.
