Remap QBO Payroll Items

I have a client using Quickbooks Online payroll and their employee health insurance deductions are defaulting into a payroll liability account.  I've gone to Payroll Settings / Accounting and tried to remap the health insurance deduction to go directly to the client's Health Insurance Expense account so that he does not have to create a monthly AJE moving the accumulated liability to reduce the related expense account.  However, deductions and contributions is not option to correct under the Accounting tab.  I'm able to edit Wage Expenses, Taxes, etc and then Other Liabilities and Assets.  If I try to edit the Medical Insurance payroll item under other liabilities and assets, the only other options from the chart of accounts, are intuitively, other liability accounts and assets.  If instead I go through the employee's payroll directly and try setting up a new payroll item / deduction, it only allows me to select from a list of predetermined payroll items that QBO has defined, one of which is Health Insurance.  If I then try to create a new Health Insurance deduction using this predetermined option from the drop-down list (health insurance), it defaults mapping the deduction back to the pre-mentioned liability account.  It does not offer you the option of choosing which account the payroll item should be mapped too like QB desktop does.  How do I create a new payroll deduction that allows ME to choose which account the payroll item should be going to?

Remap QBO Payroll Items

Hello there, @JRag2021. I'm here, and I'll share some insights about your query. This way, you can still complete your tasks and have your client's Health Insurance Deduction go to the appropriate account in QuickBooks Online (QBO).

Before we proceed, know that I appreciate the time and effort you've put into this. I do recognize the importance of having the option to correct the deductions and contributions, so your clients won't have to create monthly AJE. But as I've checked on my end, the feature you're trying to access in QBO is unavailable. Even if we set up a new payroll deduction, QuickBooks will do its default and set the payroll deduction under a liability account. You may choose the closest thing on the list of pre-determined payroll items QBO has already defined to somehow get through this.

For more information, see this article: Change your accounting preferences in QuickBooks Online Payroll.

But if you want to send a feature request to our Engineers. I can help you out. This way, they'll see your product feature suggestion and consider adding it to future product updates. I'll gladly input the steps below so you can proceed. To begin, here's how:

  1. Access your QuickBooks Online company.
  2. On the top right corner, click the Gear icon.
  3. Under Profile column, select Feedback.
  4. Enter a brief description about the feature request.
  5. Send your request once you're ready.

Additionally, here's an article about changing employee's payroll information: Edit or change employee info in payroll.

Remap QBO Payroll Items

This is stupid that you can't choose the expense account for a payroll deduction or addition.  I don't want insurance to go to a liability account.  I don't want a reimbursement to go to a reimbursement account.  I want them to go to the appropriate expense account that I choose.  QUICKBOOKS ONLINE IS NOT USER FRIENDLY!   I've had Quickbooks Desktop set up like I want it for almost 30 years and it's a ripoff to make us go to Online and then not transfer the way things were setup.
