Buy now & saveI noticed that system admin made edits last night. My state tax is due once a month after the end of the month. I walk in today and it is showing that the state tax is late for the payroll we just had last week. It's not even the end of the month yet and yesterday there was no action needed. Usually it says upcoming to pay and it will be on the next month by April 10th for the March payrolls. We have one more payroll in March. Why is it saying to pay early?
@Okie129 Hrm.
If it were the federal 941 tax, I would guess that, somehow, your system's payment schedule was changed from the monthly payment schedule to the semiweekly payment schedule; the semiweekly is either due on Wednesday or Friday, depending on your paydate, and is paid on individual payrolls.
Since you specified that it was state payroll tax, best guess is that QB dropped the ball on their foot.
That being said, I suppose there could be a state that has semiweekly requirement guidelines; which state are you dealing with?
There may have been an update to the payment frequency requirements from your state, Okie129.
If you receive updated form filing or tax deposit schedules from the IRS or your state agency, it's essential to enter the new information into the payroll system. This ensures that you submit accurate forms and make timely tax payments.
For the most accurate information, I recommend checking recent communications from your state tax authority or their official website for any changes in payment frequency or requirements.
I'm sharing this article on how to change your payroll form filing and tax deposit frequency in QuickBooks Online Payroll: Set up or change your payroll tax filing or payment schedules.
In addition, you can generate payroll reports to thoroughly examine the compensation and contributions of your employees, providing essential clarity when preparing for tax filings.

I contacted support. They said that I should go ahead and pay the state payroll tax from the one payday, outside of quickbooks and enter it as paid. Then on April 1st it should revert back to a monthly scheduled payment. I believe it was due to automated payment changes on their end.
We have a similar problem with an unexpected change in our state payroll tax payment schedule. In our case, we've had a quarterly payment schedule for years. All of a sudden, QBO shows that we have 2 past due "monthly" payments for the first 2 months of 2025. No ... there were no notices for a schedule change by our state and the state portal shows that we have a balance due of $0.00.
Called QBO support. After an hour passed on the line, the representative finally discovered (after several hold sessions during the hour call) that there's an existing investigation (# 121284) for this "bug." No ETA was provided.
We file quarterly but pay monthly to the state. No changes from the state here either. I went ahead and made payment online directly to the state and marked it paid in QBO. But I will not continue to do this! Support told me that it should be back to "normal" on April 1-2025. I still think this has something to do with their automated payment changes. It's affecting even those that are not making changes to how they pay their taxes.
