W3 Submission

I was printing W2 forms and had to re-print 3 of them. This caused me to only submit my W3 with the three employees. I corrected it and re-submitted it with all of the employees but I don't know how this process works. I called QuickBooks and they told be to call the Social Security Administration. I've been on hold for 2 hours. Does anyone know what to do in this situation?

Do you mean you printed and mailed a W-3 for only three employees, while at the same time mailing all the W-2's with that W-3?

 

When you write that you "submitted" it, it sounds like you eFiled.  If so, there is no W-3 when you eFile.

Yes, I e-filed. One of my submissions (the one that includes only 3 employees) was accepted and the other one was rejected. From other advice, I went ahead and e-filed another report that only includes the employees that were not on the original filing. It has not been rejected or accepted yet. I will let you know the outcome. Thank you for responding.

Hi there, @CBRobin,

 

I can add a bit more about submitting W-2/W-3 forms in QuickBooks Desktop.

 

The IRS lets you do a batch filing of your W-2 and W-3 forms. You just have to make sure no employees are submitted in duplicate.

 

In the meantime, you must wait for the confirmation if the forms are submitted successfully to SSA. To check your the e-filing status in QuickBooks, please follow the steps below:

  1. Go to Employees menu.
  2. Choose Payroll Center.
  3. From the Payroll Center, go to the File Forms tab.
  4. In the Filing History section, click E-Filing tab.
  5. Click the View link in the Audit Trail column for more details.

Hi Cindyann622,

 

I'd recommend contacting the SSA to ask for the status of your submission while we're still far from January 31. Or, monitor the status in QuickBooks this week. Make sure your computer has an internet connection to receive updates.
