We incorporated midyear and updated our company name and EIN. The W2's printed only under the inc name and EIN. I need two: one for the sole prop & one for the S Corp?

Hello there, linexofav,

 

QuickBooks Online only provides one copy of W-2 and it's the one with the current entity you have.

 

However, you have an option to update this information. Before doing this process, we need to turn off the E-file & Pay feature first. Please note that after updating the information, we'll need to turn this feature again and send a new authorization form with the correct name.

 

Here's how:

  1. Click the Gear icon.
  2. Select Payroll Settings.
  3. Select E-file and e-pay.
  4. Choose Manually with paper coupons, select Yes.
  5. Click Next.

Next, update the legal business name:

  1. Go to the Gear icon and select Payroll Settings.
  2. Under Taxes, select General Tax Information.
  3. Enter the Filing Name.
  4. Select OK to save.

Lastly, change the EIN:

  1. Click Federal Taxes on the Payroll Settings window.
  2. Enter EIN, check the box, then click OK.

I also recommend consulting with a tax advisor if you need to file two Form W-2s.

What about QuickBooks desktop?  We have a client who must file two sets of w3's and w2's for 2019 and apply the appropriate wages to each EIN.  They did not create final reports and W2's at the time the EIN changed.  Rather, they changed the EIN in QuickBooks and kept on running payroll.  Now they don't know how to create separate payroll returns for each EIN.  Any suggestions?

I'd be glad to offer my assistance with creating a new EIN for your other QuickBooks Desktop Payroll account.

 

Below are steps with how to create a new EIN for your account.

 

Add EIN to your subscription (QuickBooks 2017, 2018, and 2019).

  1. Select Employees, then Payroll, choose to Use My Existing Payroll Service.
  2. Under Identify Subscription, click on Use Subscription Number XXXXXXX [ Payroll Subscription Version ].
  3. Go to Next.
  4. When the Add Company Information window opens, select Next to add the company EIN.
  5. Click on Print. Or Return to QuickBooks Desktop.
  6. Verify the Service Key.
  • Select Employees, then My Payroll Service, then Manage Service Keys.
  • Choose View to display the new service key with an Active Status.
