Buy nowQuickBooks Online (QBO) will ask for your state account number when you file for your state taxes, christopher. Let me help you sort this out.
When you create a business, your state assigns and issues a unique tax identifier so your company is registered legally. In order to process your employee's pay using our program, we'll need your state account number to do this task successfully. You can find this listed on your business registration or incorporation documents.
On the other hand, an EIN or Employee Identification Number is a federal tax code issued and assigned by the Internal Revenue Service (IRS).
If you are unsure about your state code, it's best to request it from your state agency or the IRS directly to ensure you receive the legitimate identifier.
To enter your employee's paycheck information, you can read this article for guidance: Add pay history to QuickBooks Online Payroll.
I'm more than willing to assist you if you have further questions about your account number in QBO. I'm just one post away.
My new employee is Amish and does not have a social security number. He has provided an Employee ID that begins with RZ and has 6 digits. How do I enter this in QB instead of Social Security #?
Hey there, @LSF84.
Thanks for chiming in on this thread.
In QuickBooks Online, a Social Security Number (SSN) is required to add a new employee to the system. If the employee does not have an SSN, unfortunately, they can't be added at this time.
We recommend submitting feedback to our Product Developers so they can consider adding support for the employees without SSNs in the future. For now, having the employee's SSN is necessary to complete the addition in QBO.
Feel free to reach back out if you have any other questions or concerns. Have a wonderful day!
