Why can't my clients pay with their HSA cards on Quick Books?

I have had several patients try to pay their invoices with their HSA cards and none have been accepted.  I've even tried my card reader in the office and have manually typed in their card numbers myself and they are all denied.  How can they pay with these cards?

Why can't my clients pay with their HSA cards on Quick Books?

We're glad to have you as part of the Community. A warm welcome, and we look forward to having a prosperous time working with you.

Let me provide you with some information to help your patients pay with their cards.

Let me first share the possible reasons why their payments were declined:

  • The funds are not available
  • The card is expired
  • Cardholder went over a specific limit (varies per card)

To resolve this, I recommend advising your customers to call the phone number on the back of their card. This way, they can verify and check the status of their Health Savings Account.

You may refer to this article for detailed information: Accept flexible spending cards.

When everything is in order, you can accept and process payments from your customers.

If you have any other concerns about QuickBooks-related concerns. I'd be happy to assist you further. Stay safe!

I'm having this same issue and there is noting wrong with the cards. It is the QB system that is rejecting any HSA card.

This is happening to be too and it has nothing to do with the cards. QB is just rejecting any HSA cards.

Hello there, @csarge. I appreciate you raising your concern about the rejection of HSA payments.

Accepting HSA payment is subject to eligibility criteria. You can be eligible for FSA/HSA cards if you are an IRS-approved medical, dental, vision, or pharmacy practitioner.

For detailed information, kindly visit: Accept flexible spending cards.

If you meet the eligibility criteria but still can't process customers' payments using HSA, I recommend contacting our QuickBooks Payments Support Experts. They can pull up your account securely and help determine the root cause of the issue to provide you with a timely solution.

Moreover, I'll also share this link where you can browse for articles to help you manage your merchant services: QuickBooks Payments Help Articles.

I'm looking forward to having this issue resolved. Feel free to leave a reply if you require further assistance. The Community team always has your back. Have a good one.
