Buy nowIs there a way to know what employees have created a Workforce account and when we terminate employees and make them inactive in QuickBooks can they still access their account?
Hello, rgonzalez21.
I'd like to give an overview on employee accessibility for QuickBooks Workforce.
We're unable to see a list of employees with a Workforce account in QuickBooks. However, our phone support can take a look at your account securely and check which employee has signed up for an account.
You can use this link to chat with our Workforce support agents: Workforce Direct Chat link.
Also, your employees can still access their Workforce account even if you've inactivated them within QuickBooks. If you need to remove their access, you'll want to contact our Workforce support agents.
If you need a reference on the Workforce service, you can check this article: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s and more.
Want to check your employee's liabilities and other payroll data? Consider running a summary report to see the information you need.
You can ask any other questions you might have in managing your employees. Do you need to take care of your taxes, reports and other transactions? Let me know the details below.
They were not able to correct this issue. This is what I was told, "As per checking, your email already existing on file and tried to accept invite but our system failed which is the reason for the error message when you login to Workforce. This issue has been reported and is currently under investigation."
I need to talk to a person not a chat bot who knows how we can fix:
First payroll in new company file sent View My Paycheck info to incorrect employees. When we checked employee emails, they were correct.
When we tried to re-invite employees and they try to sign into their new account, they are told..
"We can't sign you in. Your employer has adjusted your access to Workforce. You'll need to reach out to them to regain access."
At this point, our only solution seems to be to discontinue using Workforce. What a mess.

So we too are about to throw in the towel with workforce.

1. Diríjase al menú Edit (Edición).
2. Seleccione Preferences (Preferencias) y luego haga clic en Checking.

Hi @Maria1232! Thanks for reaching out. Sometimes, a payment won’t reflect because the data hasn't synced after running payroll in QuickBooks Desktop. We can get this sorted by simply restoring the connection between your cloud system and the software.
As mentioned, the absence of 2026 payments in Workforce usually stems from the pay stubs not being synced to the cloud after the payroll was processed in your Desktop company file. Since you are at the beginning of the new year, it is also common for a Service Key refresh or an outdated software version to prevent the data from successfully reaching the Workforce portal. To resolve this and make your 2026 payments visible, here's how:
You can also review the Workforce Preference and ensure the I have QuickBooks Payroll and I want to put my pay stubs online is still checked for the year 2026. By doing so, you're giving the program a permission to allow any pay stubs to be uploaded to Online. These are the steps:
Lastly, ensure that your software is running the latest release. At the start of a new tax year, a critical update is often needed for the program to align with the new payroll tax tables and cloud sync protocol. For more details, see this page: Update QuickBooks Desktop to the latest release.
If the data has been uploaded but is still not appearing, have the employee log in to the QuickBooks Workforce website directly rather than using the mobile app. This will help verify if a Year-to-date (YTD) filter is accidentally hiding the new 2026 entries.
