Year End Local Tax Reporting

In QuickBooks Online Payroll am I able to edit information that shows on W-2's in Boxes 18, 19, & 20 to add additional local taxes for employees who work in multiple locations throughout the year?  I understand it is not possible to add all of them in Payroll to track throughout the year for auto filling in my employee W-2's but need to make sure they are still reported on W-2's for local municipalities.

Since you mentioned, OC Inc that your automated taxes and forms are on, you need to contact our live expert support team to request a correction. We'll make the necessary corrections and submit the form to the Social Security Administration. You'll be informed about the updates, and the live expert support will let you know when you and your employee should expect to receive the W-2.

  1. Click the Help icon.

 

        2. Select Search, then below please click Contact Us.

 

 

        3. Choose Payroll from the options.

 

 

        4. Select whether to Callback or Chat cause they can start a conversation with you in real-time.

        5. Provide all the information needed to be filed, then hit Get a chat or Get a call, depending on what you choose in step 4.

        6. Then you can now talk/chat to them in real-time.

I did not mention having automated taxes and forms turned on.  I have actually disabled this feature since we switched from desktop to online, and I'd like to be able to review everything before it is submitted to ensure it is correct.  My question is if I am able to edit W-2's at the end of the year in order to add the local withholdings since multiple local tax locations is not supported in online payroll.  Otherwise I have no way of reporting these wages and withholdings to our local municipalities for tax purposes.  This feature was never a problem in desktop payroll, and we were able to add as many local withholding locations as needed, and they would automatically populate on W-2's.

Hi there, OC Inc. We currently don't support editing W-2s to add multiple local withholding locations in QuickBooks Online Payroll. However, I'm here to share an alternative reporting option that may suit your needs.

 

The option to have multiple state unemployment and local withholdings on a single paycheck or tax filing is unavailable. This limitation is designed to prevent complications with state tax forms. However, you can file W-2s externally from QuickBooks. To do this, you can utilize the Payroll Tax Liability report to review your local tax liabilities. Then, you can record any local tax payments you've made to ensure your reports are balanced and accurate.
 

To help you out, here's a step-by-step guide on running the Payroll Tax Liability report:

 

  1. On the left navigation panel, navigate to Reports.
  2. Search for Payroll Tax Liability report.
  3. Run the report.

Year End Local Tax Reporting

I just got off a chat with online payroll support who told me that Boxes 18-20 are editable on W-2's, which is conflicting information from what is being said here.  I do not want to get to the end of the year and go to file taxes only to find my W-2's are inaccurate and cannot be corrected.  This feature is available in QuickBooks desktop without causing issues, so it's really disappointing to switch from desktop to online and find there are huge limitations on what is transferrable.
