When I do below this is the reply I receive when I click on the the saved PDF

 The webpage cannot be found
 HTTP 404  
   Most likely causes:
There might be a typing error in the address.
If you clicked on a link, it may be out of date.
 
   What you can try:
     Retype the address.  
 
     Go back to the previous page.
 
     Go to  and look for the information you want.  
 
   More information  More information

This error (HTTP 404 Not Found) means that this program was able to connect to the website, but the page you wanted was not found. It's possible that the webpage is temporarily unavailable. Alternatively, the website might have changed or removed the webpage.

I need to reprint last years W-2's. Where are my old w-2's kept?

I'm here to help you print the previous years W-2s. 

Prior years W-2s (and other filed forms) are saved under the Filing History in the Payroll Center. To access and print them:

  1. Click on the Employees menu.
  2. Select Payroll Tax Forms & W-2s, then click Process Payroll Forms.
  3. Under Filing History, find the prior year's W-2. 
  4. To access and print your W-2 information, click on the link under the Saved PDF column. 

That'll do it. If you have other questions about the saved tax forms in QuickBooks Desktop, please let me know and I'll zip right back to help you.

I need to reprint a 2016 W-2 for an employee, but when I look at the saved file it only shows the transmittal copy. Quickbooks will not let me recreate a W-2 from a prior year.  Suggestions?

The filing history only went back to 9/2017. I also wanted easy access to W2s from 5 years ago. I shuffled through files and found paper copies. Shouldn't QBs keep more than a few months filings?

I also need to reprint a 2016 W2 and in quickbooks desktop pro 2018 I only have the transmission details and no pdf of the 2016 W2's   If I recreate it, it prints saying 2017.  Why can't I reprint a 2016 W2???

I'm having the same issues as the previous commenters. Why hasn't this been addressed by Quickbooks?? It should not be this hard to reprint a W2. This is ridiculous.

I need to reprint a W2 also.  With the new drivers license issue I think we will need to do this more.  How do I reprint a W2 from the prior year?

Thanks for reaching out to the Community. I'm here to provide information about the W-2 form from the prior years.

 

All the W-2 forms sent through QuickBooks Online will show under Filing History. You can access and print the forms that show through this section.

 

To access and print them:

  1. On the left navigation bar, click the Employees menu.
  2. Select Payroll Tax Forms & W-2s, then click Process Payroll Forms.
  3. Under Filing History, find the prior year's W-2. 
  4. To access and print your W-2 information, click on the link under the Saved PDF column.

If you want to view previously submitted W-2 forms (filed outside QuickBooks), you need to reach out to one of our Phone Support Team. They can pull up your information in a secure environment and help you print the W-2 form you need.

These directions do not lead you to print a w2.  It leads you to print the w2interview which is useless to the employee and in my case only listed one of my employees CopyA even.  This is terrible for record keeping.  Hope I never get audited.

Allow me step in and share some insights about printing prior W-2s in QuickBooks.

 

The steps provided by my peer @AlcaeusF should allow you to access old forms you have filed in QuickBooks. If you're unable to do so, you can print your employee's W-2 information in the updated version of the form. Let me walk you through the steps:

  1. Go to the Employees menu.
  2. Select Payroll Tax Forms & W-2s.
  3. Choose Process Payroll Forms.
  4. Double-click Annual Form W-2/W-3 - Wage and Tax Statement/Transmittal.
  5. In the Select Filing Method field, enter 2015.
  6. Click OK.
  7. Mark the employee you'd like to print the form for.
  8. Click the Review/Edit menu.
  9. Select the Check for Errors button.
  10. Make sure to resolve all errors on the form.
  11. Click Print for Your Records.
  12. Select the forms to print.
  13. Click Print PDF.

Before printing, please be reminded that the version of the form has been updated to 2018 and is not valid for filing. However, if your employee still needs to file the form, you can manually fill out an IRS W-2 form from the IRS website then have it printed for him.

"4. Double-click Annual Form W-2/W-3 - Wage and Tax Statement/Transmittal." but where is it? It only shows PDF for last year and nothing shows you can choose 2015

I'm happy to guide you today so you'll be able to print or open the W-2 form for 2015, @ge1.

 

The Annual Form W-2/W-3 - Wage and Tax Statement/Transmittal is located under the File Forms section. For your reference see the steps and screenshots added below.

 

  1. Go to the Employees menu at the top menu bar, then select Payroll Center.
  2. Click on the File Forms button beside Pay Liabilities so you can select the form you want to open.
  3. Hover your mouse to the Annual Form W-2/W-3 - Wage and Tax Statement/Transmittal section, then tap on Create Form.
  4. Under the File Form window, select employees and enter 2015 under the Select Filing Period section.
  5. Hit OK.

Once completed, you'll be routed to the Payroll Tax Form page. If you wish to print the form click on the Print for Your Records button or save it as a PDF.b6 8.PNG
