Thanks for reaching out to the Community. I'm here to provide information about the W-2 form from the prior years.
All the W-2 forms sent through QuickBooks Online will show under Filing History. You can access and print the forms that show through this section.
To access and print them:
On the left navigation bar, click the Employees menu.
Select Payroll Tax Forms & W-2s, then click Process Payroll Forms.
Under Filing History, find the prior year's W-2.
To access and print your W-2 information, click on the link under the Saved PDF column.
If you want to view previously submitted W-2 forms (filed outside QuickBooks), you need to reach out to one of our Phone Support Team. They can pull up your information in a secure environment and help you print the W-2 form you need.
These directions do not lead you to print a w2. It leads you to print the w2interview which is useless to the employee and in my case only listed one of my employees CopyA even. This is terrible for record keeping. Hope I never get audited.
Allow me step in and share some insights about printing prior W-2s in QuickBooks.
The steps provided by my peer @AlcaeusF should allow you to access old forms you have filed in QuickBooks. If you're unable to do so, you can print your employee's W-2 information in the updated version of the form. Let me walk you through the steps:
Go to the Employees menu.
Select Payroll Tax Forms & W-2s.
Choose Process Payroll Forms.
Double-click Annual Form W-2/W-3 - Wage and Tax Statement/Transmittal.
In the Select Filing Method field, enter 2015.
Click OK.
Mark the employee you'd like to print the form for.
Click the Review/Edit menu.
Select the Check for Errors button.
Make sure to resolve all errors on the form.
Click Print for Your Records.
Select the forms to print.
Click Print PDF.
Before printing, please be reminded that the version of the form has been updated to 2018 and is not valid for filing. However, if your employee still needs to file the form, you can manually fill out an IRS W-2 form from the IRS website then have it printed for him.
That should get you to the right track, cgarey. Let me know if there's anything you need help with QuickBooks. I'll be happy to help you anytime.

I have a former employee asking me for his W-2s from 2018 and 2019. I sold the business in December of 2019 and no longer have a Quickbooks account. How can I retrieve the W-2s?
We're unable to get your employee's W-2 data for 2018 and 2019. However, your employee can order a copy of the entire return from the IRS for a fee. You can reference this resource for more details: Transcript or Copy of Form W-2. Then click the Can I get a transcript or copy of Form W-2, Wage and Tax Statement, from the IRS? information.
You can also contact the new QuickBooks Online company owner to get a copy of your employee's prior W-2s.
Alternatively, you can check if you still have access to your previous QuickBooks Online account. Then check the Archived forms to download the employee's W-2 for 2018 and 2019.
Additionally, you can contact the IRS for more details on how to get the employee's W-2 copies for 2018 and 2019 since they got access to it.
Let me know if you have other questions regarding the W-2 forms. I'm always around to help. Have a great day!
