The Condense Data Utility tool is a great option for removing older transactions and keeping your QuickBooks Enterprise file manageable. By using this tool, you can remove older data and move only the last 2 years' worth of transaction to the 2024 version.
First, make sure to create a backup copy of your company file. This is to make sure that everything is covered can be restored from a specific point in time.
Second, follow these steps on how to proceed with using the tool:
- Go to the File menu, look for Utilities, and then click Condense Data.
- Choose the Remove the transactions you select from your company file option, then click Next.
- Click Transactions before a specific date, then enter the date that you want, then select Next.
- Select how transactions would be summarized, then select Next.
- Choose how inventory should be condensed, then select Next.
- Select the recommended transactions that you’d like to remove, then select Next.
- Choose the list of entries you’d like to remove, then select Next.
- Select Begin Condense, then wait for the process to complete. Select Close.
